Job Description:
Summary and Purpose:This position is responsible for co-managing and overseeing all aspects of event support including the physical setup of event spaces, delivery of event specific equipment, management of AV systems, and overseeing event management for all campus events. Position also manages/co-supervises the student event managers and set-up crews to ensure event management and coverage by troubleshooting and coordinating the audiovisual systems for College events and space reservations.Responsibilities/Duties/Tasks/Essential Functions:
  • Co-manages the Conference and Event Support sector of the department by providing event management support for both internal and external clients with direction from the Conference and Event Planning staff.
  • Oversees the scheduling and work flow processes for event management tasks including delivery, set-up, tear-down, removal, and storage for all college events.
  • Collaborates with other operations sector departments to ensure quality customer service and effective event execution.
  • Responsible for ensuring technical support throughout the entirety of each event including pre-event AV checks and any technical needs during an event.
  • Work closely and professionally with external and internal clients to coordinate all AV details for events.
  • Assist in the purchasing, inventory management of event related equipment and AV equipment throughout the College.
  • Maintain a current knowledge of AV equipment, techniques, and best practices.
  • Operation and understanding of software used to manage AV equipment scheduling and inventory management (EMS).
  • Hires, trains, schedules, and manages student employees in the department.
  • Manages workflow scheduling and supervision of student employees to complete all requested tasks in an effective and efficient manner.
  • Assists Facility Services with campus moves not specifically related to events such as office furniture moves, distributing large campus mail items, etc.
  • Understands and implements Aquinas College policies and procedures as they relate to space use.
  • Provides Associate VP for Operations with departmental analysis, including budget reporting, workflow efficiencies, and departmental resource allocation.
  • Attends periodic meetings with other department managers and directors.
  • Responsible for securing event facilities and equipment post-event.
  • Responsible for Aquinas College property, including access to master keys and other high-level items (including AV and tech equipment).
  • Understands and implements Aquinas College policies and procedures as they relate to space usage and rental agreements, including alcohol policies and emergency procedures.
  • Other duties as assigned
Knowledge, Skills and Education Requirements
  • Must have a high school diploma or G.E.D. Bachelor's degree in hospitality or event management preferred but not required.
  • Must be proficient in computer software programs, including Google (Gmail, calendar), and event scheduling software (EMS)
  • Must have excellent communication and interpersonal skills.
Work Environment & Physical Demands
  • Must be comfortable using large moving trucks, hand dollies, moving carts, and standard hand and power tools.
  • Must be willing to work a flexible schedule, including evenings and weekends.
  • Requires driver's license and passing a driver screening check.
  • Must be able to perform regular lifting and moving of items.
  • Must be able to bend and stoop.
  • Ability to work in a fast-paced environment
  • Ability to manage relations and handle conflict resolution and maintain professionalism when interacting with staff and clients required
  • Sitting or standing for long periods of time
  • Lifting up to 50 lbs.
