ABOUT US Courageous Healing's practice is conducted on an outpatient basis and is designed to accommodate clients experiencing disruptions in their ability to function daily. Through traditional talk therapy and trauma-based interventions like EMDR, our therapists help clients identify issues that cause emotional distress to improve their quality of life. Our therapists are trauma-informed, culturally responsive, and equipped to help clients navigate stress, anxiety, relationships, parenting, depression, addictions, eating, sleeping, trauma, anger, family conflicts, grief, self-esteem, and more. ABOUT THE ROLE The Intake Coordinator is part of the Care Operations team, which supports the operational processes needed to deliver exceptional mental healthcare. Care Operations is a customer support team whose mission is to deliver and facilitate a best-in-class experience to our clients and to our clinical team. We are seeking an empathetic and systems-minded person who understands and values the services we provide, the populations we serve, and has the heart and thoughtfulness to connect with them. The Intake Coordinator will be responsible for conducting prospective client registrations and verification of insurance benefits. The Intake Coordinator will be cross trained in various areas to assist in providing coverage and support as needed. The Intake Coordinator will report directly to the Clinical Operations Manager. RequirementsCORE AREAS OF RESPONSIBILITY Carrying out the registration for new clients, including: Obtaining and verifying patient demographic and guarantor information prior to visits to ensure that the patient record is accurate and is available for billing purposes. Conducting new client registration appointments. Determining payment methods and preferences. Reviewing new clients' sliding fee applications. Reaching out to referred clients that may inquire through our website or portal. Verifying new clients' benefits and eligibility with insurance providers. Contributing to the intake process strategy and future improvements. Having a thorough understanding of therapists' expertise and workload to predict client-therapist compatibility and availability. Ensuring new client proper documentation is completed. Supporting various operational workflows, including but not limited to: Assisting with client data tracking, key performance indicator tracking, and client survey result tracking. Turning in timely and accurate reports. Managing new clients-therapists relationship, including: Handling emails, calls, and communications with clients and therapists. Supporting groups and events, including: Assisting with Courageous Healing's groups' logistics, signups, documentation, gathering, coordinating agendas, and liaise with other external partners to align schedules. Leading and managing all Courageous Healing's pop-up events. IMPACT AND SUCCESS INDICATORS Where you'll make an impact in the first year: Handle all incoming registrations accurately and systematically while using a timely and patient centered approach. Remove common barriers to a seamless mental health care experience. Identify operational or client support process improvements. Be a key contributor to company priorities to help ease processes for our clients and therapists. JOB REQUIREMENTS Bachelor's degree. Ability to understand and respond to the cultural nuances of serving Black and Brown communities. Bi-lingual in English and Spanish is preferred. Prior experience in medical billing or medical registration is ideal. Excellent interpersonal and communication skills and the ability to work as a member of the team to serve the patients is essential. Previous work experience in a or healthcare setting in a registration or billing role. Comfortable speaking on the phone with a diverse range of clients. Ability to communicate efficiently, clearly, and comprehensively. Ability to be an excellent listener with the appropriate amount of compassion. Prior or working knowledge of health benefits and insurance providers. Detail-oriented, organized, and excited about problem-solving to get the job done. Excitement about navigating a growing, rapidly changing, and sometimes ambiguous environment. Tech savvy, high use of overall computers and skilled in Microsoft Office 365 Suite. WHAT TO EXPECT Fair pay, great team, and a healthy work culture. Typical work hours are 9:00 AM - 5:30 PM, Monday through Friday. Expected 2-3-hour evening or weekend shifts on occasion. Hours may vary based on projects, demand, deadlines, etc. May occasionally work evenings or weekends as needed for events and special projects.
