Job Description:Reporting to the chair of the English and Communication Studies Department, the Office Assistant will support a wide range of administrative activities for the department.Responsibilities:Serve as front-line customer service representative including interacting with students, guests,and visitors and directing/redirecting issues and concerns as appropriate.Answer phones, log messages and direct calls to the appropriate department or individual.Assist in the coordination and participation in meetings and events as required, including the preparation of agendas, materials, and logistical arrangements.Create, update, and maintain documents using Microsoft Office and Google Suite; proofread and track information for reports, analyses, budgets, and more.Process vendor payments and maintain tracking and ordering of office supplies by utilizing the College's internal account system, Finance Enterprise to include collection and compilation of receipts, vouchers, and expense reports for processing.Keep an organized inventory of office supplies, placing orders as needed to ensure smooth operations.Provide accurate responses to questions about the English and Communication Studies Department.Participate in the development and implementation of process improvements and interoffice system enhancements.The preceding description is not designed to be a complete list of all duties and responsibilities required of the position; other duties may be assigned consistent with the classification of the position.Requirements:Minimum Qualifications:Associate's degree required.2-4 years of appropriate business experience.Preferred Qualifications:Bachelor's degree preferred.Required Knowledge, Skills, & Abilities:Proficient in Microsoft Office Suite and Google Workspace software, including Drive, Docs, Sheets, Calendar, Contacts, and Sites.Effective verbal, written, and interpersonal skills.Demonstrated ability to use a high level of discretion, confidentiality, professionalism and customer service skills.Strong organizational, problem-solving, and time management skills.Ability to communicate effectively with faculty, students, campus employees, and the public.Accounting and bookkeeping skills.Application Instructions:In order to be considered for this position, please submit the following documents online:ResumeCover letterUnofficial transcriptA list of three references with telephone numbers and email addressesFor more information about us, please visit FIT's website at: .#J-18808-Ljbffr
