Position: Part-Time Office Assistant
Schedule: Onsite Tuesday, Wednesday, Thursday
Hours: 7-4 or 8-5 (flexible hours)
Long term contract
Pay: $18-24/hr
General Responsibilities:
- Be a warm and welcoming presence at our front desk, greet visitors and help connect them with the employee they are here to see.
- Ensure the office remains organized and tidy, this includes the front of the house, conference rooms, common areas, kitchen(s), and storage closets. There will also be times where we'll look to this position to seasonally decorate the office.
- Maintain and order office / kitchen inventory as needed across all offices, partnering with local employee contact for delivery.
- Answer / screen incoming calls, gathering necessary details to forward to the appropriate party.
- Coordinate and assist with in-person meeting requests (internal, client, etc.). This includes ensuring appropriate space is reserved, placing and being available to receive catering orders, adding visitors to security, and managing the set-up and break-down of the room. Be available for any additional support.
- Manage office mail and deliveries (both incoming and outgoing). Provide support for expense reconciliation via vendor statements, catering or supply receipts for billing needs.
- Build relationships with office vendors, key building management contacts, and building security, if applicable.
- Maintain building keycard system for employees: activating / deactivating cards.
- Be open to helping employees with requests regarding internal or client needs.
Requirements:
- Professional, friendly, energetic and cheerful demeanor.
- Extremely organized and detail-oriented. This role requires juggling priorities and supporting employees at all levels.
- Able to multitask and pivot/reprioritize quickly and calmly as requests dictate.
- Able to work independently or with a group.
- Excellent computer skills with a high degree of proficiency with Google Suite utilizing a Mac laptop.
- Quick learner of new platforms and programs such as expense software (i.e. Concur).
- Regular, punctual, in-person attendance with flexibility to work additional hours for client meetings (advanced notice will be provided).
