We're seeking to cover a brand new position for a Part-Time Office Management Assistant to join our dynamic team in the bustling heart of New York City. This role offers a unique opportunity to contribute to the smooth functioning of our office operations while working alongside a diverse and talented group of individuals. The position is fully on-site from 08:30am to 12:30pm.Responsibilities
  • Managing mail and shipments in our virtual office in NY.
  • Coordinating courier bookings, parcel deliveries, and ensuring proper distribution and handling, including managing returns.
  • Handling general office inquiries and escalating issues to the Office Operations Manager as necessary.
  • Managing calendars, bookings, and arrangements for external meetings.
  • Handling incoming and outgoing phone calls and managing our Zoom call system.
  • Performing administrative tasks and other ad hoc duties.
  • Supervising cleaning crew activities.
  • Managing general office supplies and handling pantry orders and restocking.
  • Assisting with onboarding kit preparation for new team members.
  • Providing assistance with onboarding and offboarding processes for IT, HR, and Office Management.
  • Arranging quarterly team-building activities for our NY team.
  • Coordinating travel arrangements for the NY team.
  • Supporting the Office Operations Manager in organizing internal company events and catering for the NY team.
  • Providing assistance for our IT team with stock control, storage room management, offboarding asset recovery, and item inspection.
  • Assisting our HR team with administrative duties on-site and off-site.
Requirements Ideal candidates for the part-time Office Assistant position should possess the following qualifications:
  • Native English speaker.
  • Demonstrated administrative skills and ability to multitask effectively.
  • Proactive approach with a dedication to excellence and a keen eye for detail.
  • Strong communication and interpersonal abilities.
  • Previous experience in a similar Office Assistant role is essential.
  • Excellent telephone and email etiquette, along with strong organizational skills.
  • Proficiency with Microsoft Office and G-Suite, demonstrating a high level of computer literacy.
Nice to have
  • High level of Spanish is considered advantageous but not required
