The Program Assistant (PA) is primarily responsible to give quality support to the Program Director (PD) and staff in any areas as needed. In addition, the PA is expected to take the lead in setting the stage for and welcoming visitors upon arrival. The PA will coordinate administrative responsibilities with PD and complete general clerical work and office organization will work to develop positive relationships with purchasers, providers, community members, and community organizations, and will promote strong and open communication with all staff.Essential Duties and Responsibilities
  • Send out requests for records and follow up to ensure NWCGC receives the necessary records.
  • Respond to all record requests from outside agencies in a timely fashion.
  • Promote a welcoming day treatment environment for visitors/guests through tasks such as maintenance of public waiting areas and conference spaces, supply and preparation of materials and beverages for visitors/guests. Promptly welcome guests and provide assistance upon arrival.
  • Answer telephone and manage phone calls in a hospitable and effective manner and appropriately distribute messages and requests.
  • Complete typing and filing tasks as assigned including: starting new client files; closed client files; checking for signatures, and filing weekly
  • Make copies and use fax machine as directed (includes keeping staff supplied with necessary forms as needed.)
  • Type new and update all care plans and/or treatment documents as needed. Copy care plans for each week's use.
  • Order office and equipment supplies; help monitor ongoing needs
  • Create new forms when needed.
  • Complete mailings as needed (m-team invites, client homework, field trips, lice letters, holiday hours, facility closed, Christmas cards, etc.)
  • Maintain information spreadsheets, such as, but not limited to: Client Tracking and Individual-Family Session Tracking.
  • Keep office machinery in working order by filling with paper; spot cleaning as needed, changing ink and toner cartridges, calling and monitoring repair when necessary.
  • Help staff troubleshoot computer software problems and How to questions.
RequirementsQualifications - Education and/or Experience
  • Demonstrate expertise in the following computer programs: Microsoft Word, Excel, Outlook.
