KANE AREA SCHOOL DISTRICT PROFESSIONAL JOB DESCRIPTION
Salary-$1,500 per year
TITLE: Part time Board Secretary
QUALIFICATIONS:
* Education beyond high school diploma or job experience equivalency.
* Demonstration of advanced secretarial skills including typing, and various office technologies utilization.
* Proficiency in knowledge and utilization of computer software programs.
* Demonstration of good organizational skills, self-motivated, and able to prioritize job responsibilities.
* Demonstration of problem solving abilities.
* Maintain a positive working relationship with co-workers and community.
* Such alternatives to the above as the Board may find appropriate and acceptable. .
REPORTS TO: School Board and Superintendent of Schools
JOB GOALS: To establish and maintain accurate and complete school district records and well-documented business transactions.
Performance Responsibilities:
* Facilitates the arrangements of board meetings, subcommittee meetings, and board workshops.
* Handle details for the board (setting up meetings, etc.)
* Responds to the day-to-day priorities determined by the board.
* Respond to special reasonable requests by the board.
* Serves the board, the public, the superintendent and the community.
* Represents the board and the district.
* Acts as a Notary Public for official school business, community documents, etc.
* Signs contracts, agreements, checks, correspondence, documents, minutes and reports as required.
* Attends board and subcommittee board meetings and completes minutes per respective meetings.
* Assists with the control of timelines, deadlines, agendas, and meetings.
* Collects information, opinions, ethics forms, surveys and funds for miscellaneous occasions.
* Works with the District Office staff to develop agendas, minutes, and advertisements for meetings, bids, sales, hearings, news releases.
* Works with the District Office staff to compile financial reports and other reports for the board.
* Coordinates agendas, travel, schedules, meetings and conferences.
* Keeps board members, media, administration and the public informed
* Acts as the school board's archivist.
* Acts as liaison with administration, school board, parent groups, special-interest groups, support personnel and the media.
* Assists the board in meeting its goals.
* Understands, appreciates and is sensitive to the entire school district's corporate culture.
* Demonstrates dedication to the school district's mission and goals.
* Communicates frequently with those needing assistance.
* Anticipates and attends to the tasks inherent in the board secretary's role.
* Adheres to confidentilaty policies, laws, and rules when handling documents and information.
KNOWLEDGE, SKILLS, AND ABILITIES:
LANGUAGE SKILLS:
Ability to read, analyze, and interpret any information pertinent to responsibilities of position.Ability to write reports and correspondence.Ability to effectively present information and respond to questions from public individuals and groups, teachers, administration and Superintendent of Schools
MATHEMATIC SKILLS:
Ability to calculate, problem solve and apply mathematic concepts as needed for job responsibilities.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variable in situation where only limited standardization exists.Ability to interpret a variety of instructionsfurnished in written, oral, diagram, or schedule form.
OTHER SKILLS AND ABILITIES:
Ability to establish and maintain effective working relationships with co-workers, teachers, administration and community. Ability to communicate clearly and concisely in both oral and written form.Ability to perform duties with awareness of all district requirements and Board of Education policies.
