SUMMARY OF POSITION:
The School Secretary position will provide general clerical support to assigned department(s), and may also provide temporary coverage for other clerical/support positions within the organization. The incumbent must demonstrate flexibility and initiative to master new processes and may, at times, need to independently prioritize multiple projects between departments to meet important deadlines. This position has access to confidential information. Strict adherence to FERPA and the confidentiality of student and/or staff records is essential. JOB RESPONSIBILITIES:
The following duties are a general overview of the responsibilities for the position and are not all-inclusive. Assist in the routine maintenance of student and/or various departmental filing systems (paper and/or digital). Provide clerical support to various departments (which may include, but not be limited to, Enrollment, Special Education, Guidance, etc.), as needed. Perform data entry tasks, accurately and efficiently. Respond to incoming phone enquiries, directing callers to the appropriate staff person, as needed. Assist with inventory, incoming/outgoing shipments of student books and/or supplies, as needed. Perform various clerical tasks as assigned, to include but not limited to word processing, making copies, compiling mailings, and Front Desk coverage. Execute any other projects and other tasks as assigned by the supervisor. ESSENTIAL JOB SKILLS:
Excellent communication skills. Ability to communicate effectively and appropriately, through in-person interactions, letter writing, telephone and/or email with all stakeholders in the organization, vendors, students/families, Board and community members. Works with courtesy, tact, and diplomacy in dealing with others. Proficient computer literacy; Ability to use multiple software packages or systems, including the following: Microsoft Excel, Microsoft Word, FileMaker Pro, Google products, Adobe Acrobat, CSIU/FIS, SCI View to fulfill job functions; Skilled and accurate proficiency completing data entry and data export. Collaborative team member. Ability to work independently and collaboratively as part of a team. Excellent organizational skills. Effectively prioritize simultaneous projects to meet deadlines, identifies and utilizes appropriate resources needed for project execution. Ability to multitask. Flexibility to meet changing demands. Uses initiative to observe, identify and be flexible to respond to changing priorities to provide support within different departments throughout the organization, as needed. QUALIFICATIONS
: Education & Experience High School Diploma, associates degree preferred. 2-3 years of successful and related experience in a fast-paced office environment. Requirements
