Job Description:

The Student Assistant Specialist will be working with the Associate Dean of Partnerships and Practice-Based Learning on all Partnerships and Experiential Learning initiatives that are managed by the office, including the Public Engagement Fellowship, Coverdell Fellows, Fulbright, summer programs, academic partnerships, and others.

Responsibilities

1. Academic Partnerships and Experiential Learning Proposals, Systems, Budgets and Policies:

* Assisting with partnerships, fellowships, practice-based learning, summer programs, and experiential learning initiatives;

* Assisting with drafting proposals for new initiatives and for updating existing opportunities;

* Finding best practices in partnerships, fellowships, practice-based learning, summer programs, and experiential learning initiatives;

* Assisting with writing MOUs and contracts for academic partnerships and experiential learning portfolio.

2. Daily Administration and Management:

* Administrative support for fellows, faculty, students, and partner organizations;

* Managing emails and general inquiries; managing and organizing multiple Google Drives; and drafting all email correspondence for students, faculty, and partner organizations;

* Providing students with guidelines for fellowships, summer, and practice-based learning programs and information on program selection, application process, and course registration;

* Managing communications and reminders for students, faculty, and centers/institutes at every step of the experiential learning application, selection, and enrollment processes;

* Creating and managing multiple databases to track prospective applicants, process and track applications, program acceptance, and participant requirements, as well as final programs numbers;

* Uploading and organizing student information to databases and folders through entire applications processes;

* Coordinating application, selection, and admission processes; scheduling and managing appointments and meetings;

* Working with Continuing & Professional Education (CPE) to grant permission for students to register for courses through cpe.newschool.edu, including uploading students information to a Google Sheet shared with the CPE team;

* Working with the Student Affairs team by providing New School students' information and CRNs to grant them permission in Banner to register;

* Directing faculty and students to the appropriate staff teams for support-Student Affairs, Communications and Events, or Budget and Finance requests.

3.Outreach, Recruitment, Marketing and Communications:

* Managing and updating website content for fellowships, practice-based learning, and summer programs, and other programs managed by our office;

* Conducting outreach for fellowships, summer, and practice-based learning programs for marketing and promotional purposes, including subscribing to relevant listservs, posting on international forums and study abroad platforms, and through career services web platforms;

* Creating a weekly newsletter via MailChimp for the Public Engagement Fellowship, highlighting events, opportunities and news from across the university;

* Curating a list of universities across the US and abroad, listservs, and social media platforms to send promotional campaigns to for recruiting external students (Study Abroad Offices Careers Services Offices, Internship Offices, academic departments);

* Collaborating with the Events and Communications team in creating and managing social media advertising campaigns to attract more applicants;

* Assisting with the creation of communications and informational materials for students applying to fellowships, practice-based learning, and summer programs, and other programs managed by our office, and sending timely reminder emails;

* Creating and distributing documents, electronic flyers, brochures, and promotional materials related to Experiential Learning and tailored to specific programs prior to important deadlines.

4. Events (In person and on Zoom):

* Acting as in person representative at information sessions, meetings, and events, including all Experiential Learning and Fellowship events;

* Planing, scheduling and managing events (on Zoom and in person);

* Coordinating with Communications and Events team, Executive Dean's Office, and Centers/Labs/Institutes as needed;

* Managing, organizing and assisting with catering, Facilities and AV requests for events.

5. Fulbright - Administration and Communications:

* Creating and managing databases to track Fulbright prospective applicants and application materials;

* Assisting with the creation of communications and informational materials for students applying to Fulbright and sending timely reminder emails to these students;

* Finding prospective faculty for each student's Campus Committee based on their research interests and academic history;

* Scheduling Campus Committee meetings for multiple Fulbright Applicants.

6. Other tasks as needed by the expanding portfolio of the Associate Dean of Partnerships and Practice-Based Learning.

Reporting: The Student Assistant Specialist will report to Fabiola Berdiel, Associate Dean of Partnerships and Practice-Based Learning.

Start/End Date: Start as soon as possible and extend through the 2024-2025 academic year. I will consider candidates starting in Fall 24 but prefer someone that can work through the summer and into the academic year 24-25 and possibly beyond (if still a student).

Work Mode: Hybrid - split between in-person/on campus and remote

Compensation: The position will be compensated at a rate of $20/hour at 20 hours/week. The student should be able to work 4 days a week, 5 hours per day.
