Job Description:

We are seeking a Parts Administrative Assistant who will play a crucial role in managing the administrative functions of our parts department. Key Responsibilities:
  • Ensure proper control and management of parts administrative functions.
  • Verify that credits are received for returned parts.
  • Match purchase orders with invoices, approve, and forward to the accounting office.
  • File company copies of parts counter invoices accurately.
  • Organize, verify, and provide payment follow-up for damage claims, shortage claims, General Motors parts subsidy programs (e.g., Bump the Competition, Overpower claims), sheet metal repair claims, and core returns.
  • Maintain thorough documentation and ensure timely submission of claims and payments.
Qualifications: Dealership experience preferred.
  • Education: High school diploma or GED, or one to three months of related experience/training; or an equivalent combination of education and experience.
  • Language Skills: Ability to read, interpret, and communicate effectively in relation to safety rules, operating and maintenance instructions, procedure manuals, and invoices. Strong written and verbal communication skills.
  • Mathematical Skills: Proficiency in calculating figures and amounts such as discounts, interest, commissions, and percentages.
  • Reasoning Ability: Strong common sense and problem-solving skills to carry out instructions and handle various standard situations.
  • Certifications: Must have a valid Driver's License.

MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
