About the Job: The position of Parts Specialist will have primary responsibility of inventory management for the company as well as providing superior customer service to both internal and external customers. This position also has responsibility for providing back-up support to the Service Writers and Parts Manager in their absence, or as directed.
In This Role, You Will:
- Place timely parts stocking orders, re-orders and special orders with approved vendors.
- Receive and record inventory accurately into computer databases.
- Review vendor invoices for discrepancies and make corrections if needed, approve, and submit to Accounting in a timely manner for payment processing.
- Maintain an organized parts room and put parts up in assigned areas.
- Update estimates timely and accurately for special orders.
- Preparation of end of the month reporting (backorders, open PO's, etc.) and back up for preparing monthly reports for accounting.
- Manage parts warranty and maximize benefits available with vendors.
- Establish and maintain parts triggers and targets in TMT to more efficiently track inventory replenishment needs.
- Assist with parts inventorying and checks-and-balances, i.e. cycle counts.
- Develop effective negotiation strategies with vendors to obtain most competitive and cost-effective pricing.
- Confer with vendors to obtain favorable and timely deliveries reducing the need to send Utility Workers for parts.
- Identify new and unused resources to maximize software utilization.
- Make recommendations accordingly for improvements in processes, procedures, policies, etc.
- Develop checklists and outline procedures for all assigned responsibilities.
- Prepare and participate in annual inventory by working with Accounting and Parts department.
- Assist in training and development of new maintenance employees in regards to the Parts department.
- Assist in monitoring adherence to OSHA regulations and company safety policies within the department.
- In absence of Service Writer, manage all visitors and incoming phone calls and provide front line customer service to internal and external customers.
- In absence of Service Writer, manage roadside breakdowns and maintenance issues including towing, and approved vendors for outside service.
- Participate in company training programs, safety events, company functions and meetings when requested.

Required:
- High School Diploma or GED equivalent is required.
- Strong computer literacy required including Microsoft Office skills.
- Valid Driver's license (responsible for periodic driving duties of non-CDL commercial vehicles)
