Job Summary: The Practice Manager over Dental is responsible for the overall management of operation and function of the Dental Office which includes managing the day-to-day administrative activities of the clinic as they relate to the dental office functions which includes but are not limited to: front office services, such as confirming patient appointments, data entry, financial planning for dental patients, overseeing and ensuring the repair and maintenance of dental office equipment and other related functions; and dental assistant services, such as oversight, leadership and mentorship to the dental assistants, and provides effective coordination of the clinical team and the front office staff. These functions are to be performed in accordance with the Blue Ridge Medical and Dental Center policies and procedures in consideration of the applicable state and federal regulations. Must demonstrate a sincere dedication and loyalty to the mission, vision and core values of BRMC/BRDC. The Practice Manager over Dental will manage the following duties and provide general supervision of the dental office staff and others as assigned. Duties include but are not necessarily limited to:

General Functions:

* Works closely with the Finance team to handle collections, patient financing and other related matters.

* Tracks vital department statistics and completes appropriate analysis on monthly, quarterly and annual basis to show trends and recognize successful performance by staff members and to uncover problem areas before they come serious.

* Ensures the Dental Clinic is stocked with inventory such as dental supplies, tools, and office supplies and controls the expenses of inventory.

* Collaborates with appropriate personnel to arrange transportation for dental patients as needed.

* Under the supervision and direction of the Dental Director, handles work scheduling matters, including requests for paid and/or unpaid time off, and approval of department time sheets in accordance with departmental and organization policies and procedures.

* Ensures that the Dental Clinic is properly closed and secured at the close of business.

* Familiar with the organization?s evacuation plans and the role of the Dental Staff in the event of an emergency.

* Participates in committee meetings, including but not limited to, Performance Improvement and Safety and performs duties as assigned.

* Updates job knowledge by completing mandatory training programs; participating in educational opportunities; maintaining personal networks; participating in professional organizations as applicable.

* Collaborate with Chief Operations Officer on contents of team meetings and conducts staff training as assigned.

* Ensures all Dental Center safety checks and operations logs are completed accurately and timely.

* Improves quality by studying, evaluating, and making appropriate recommendations regarding the re-designing of processes to the Chief Operations Officer; implements changes as appropriate.

* Manages special projects as required. Complete these assignments by establishing objectives, determining priorities; managing time; gaining cooperation of others, monitoring progress; problem solving, making adjustments to plans.

* Maintains schedules for front office and dental assistants. Monitors workload and may assist on occasion as to not allow it to interfere with responsibilities as the Practice Manager.

* Assures appropriate orientation and continuing education to front desk and clinical staff.

* Assists in the development and implementation of new programs and project initiatives in the Dental Clinic.

Dental Patient Access Functions:

* Accurate patient registration and billing information in the electronic registration system and accurate time of service payment collections and posting.

* On-site insurance verification and financial counseling. Explain payment/collection policies and procedures to patients. Reviews and explains patient treatment plans and all aspects of dental billing with patients.

* Ensures that dental office staff notify dental patients and affected staff of cancellations and/or scheduling changes in a timely manner.

* Completes a weekly/monthly analysis of broken appointments, no show and missed appointments. Consults provider regarding necessity for pursuing a re-scheduled visit and make written or telephone communication with patient as necessary. Assess patient?s resource status and seek out alternatives when coverage is not available.

* Assigns dental office tasks to support personnel during their free time to include contacting patients who have not completed dental work that they have been diagnosed as needing,

* Ensures quality front desk services are provided and actively engages in the performance improvement program for these services.

* Ability and willingness to perform all Dental Clinic services (front office and dental assisting) and assist Dental provider staff when needed.

* Ensures that dental support staff are scheduled and assigned accordingly to meet dental client needs.

Leadership:

* Coaches, mentors and develops dental support staff, including overseeing new employee department specific on-boarding and providing career development planning and opportunities. Provides direction, encouragement and training to dental staff in the performance of their duties.

* Demonstrates teamwork, flexibility and creative problem-solving skills when dealing with others including the culturally diverse departmental staff, providers, patients, and/or families.

* Under the direction of the Dental Director, performs selection, staffing and human resource management functions.

* In collaboration with the Human Resources Department and the Dental Director, may conduct assessment interviews and reference checks to determine the technical and behavioral competencies of dental candidates to ensure that the best from among the qualified candidates are hired by the organization.

* Performs on-going and annual employee evaluations for subordinates.

* Pursues own professional growth and development through obtaining/maintaining specialty certification and seeks opportunities for growth.
