Department: Patient Accounts- Accounts ServicesFTE (Full Time Equivalent: Full Time (1.0)- 80 Hours per pay periodHours: Monday-Friday 8:00am-4:30pmPosition ObjectiveThe Patient Accounts Representative has responsibilities to provide financial counseling for patients while they are patients, or after discharge, collect payments, set up payment plans, identify those eligible for financial assistance. They will use their organizational skills and strong customer service skills to work the accounts by calling and sending letters based on policy, while handling patients with courtesy and respect. The position will have knowledge of the Epic system and the billing process to analyze the accounts and answer patient questions regarding their bills. The Patient Accounts Representative will use problem solving skills and critical thinking skills to handle the multiple situations that arise. Essential ResponsibilitiesReview Accounts to determine collection process to be taken
  • Verify insurance has been processed and notify insurance department of any issues
  • Check for multiple family accounts
  • Review notes and payment history for relevant information
  • Help patients complete applications for assistance and forward to Social Services
  • Make determination of eligibility for Community Uncompensated Care
  • Monthly Reconciliation of Collection Agency Accounts and Remittances
  • Review Income and Expense Statements
  • Process Bankruptcy Notices
  • Process Probate Claims
Interact with patients/clients regarding account and oversees follow up
  • Contact patients/clients by phone or letter regarding past due balances based on policy
  • Keep accurate and detailed notes of work done
  • Use all resources available to them for contacting patients- ex. Multiple phone numbers
  • Work with patients to make payment arrangements when appropriate
  • Verify payments made are as agreed upon and are within policy
  • Process payments for patients set up on payment plans
  • Offer applicants assistance when appropriate
Identify when an account is read to send to collections and/or Revenue Recapture
  • Verify that all calls and letters have been made prior to determining collections as next steps
  • Send out final notice to patient/client regarding sending to collections including a message that they may not be able to make most clinic appointments after account goes to collections
  • Check MNITS to verify patient has not become eligible for MA
  • Prepare chart for collections and changes status of account
Handle incoming calls from patients/clients regarding account inquires
  • Answer questions regarding account, billing, coding and balances
  • Interact with patients and others in a professional, courteous, and respectful manner
  • Direct patients to appropriate person for answers
  • Take credit card payments and apply them to account
Required Qualifications
  • Six months or more of collection or healthcare experience
Preferred Qualifications
  • Medical Secretary degree
  • Six months of customer service experience
Knowledge, Skills and Abilities
  • Knowledge of the EPIC system
  • Knowledge of the billing process to analyze the accounts and answer patient questions regarding their bills
  • Strong problem solving and critical thinking skills to handle multiple situations that arise
  • Ability to work independently while paying attention to detail to make sure all accounts are worked timely
  • Ability to communicate effectively in person and over the phone with patients, clients, fellow employees, and Physicians
  • Strong decision making/analytical skills
  • Ability to maintain confidentiality
  • Ability to be flexible- will be rotated as needed for Alomere Health hospital, Alexandria Clinic, or Heartland Orthopedic Specialists
