This role involves greeting patients, verifying and updating insurance information, managing patient records, and supporting the overall patient experience in a medical office setting.Key Responsibilities:
- Greet patients in person or by phone, and update insurance/demographics in the practice management system.
- Verify that the physician accepts the patient's insurance and confirm insurance coverage before or at the time of the visit.
- Notify appropriate staff about the patient's arrival and ensure the medical record is available for the physician.
- Process and update HIPAA-related paperwork and other necessary forms.
- Collect referrals or insurance authorizations as required.
- Monitor the waiting room and communicate wait times to patients.
- Collect co-pays and issue receipts following established cash-control processes.
- Schedule follow-up appointments as needed and provide information for requesting medical records.
- Perform simple charge entry or enter payments and prepare cashier deposits.
- Answer phone calls and schedule appointments for the practice.
- Adhere to HIPAA guidelines for handling PHI documents and initiate appointment reminder calls as needed.
- Perform other related duties as assigned.
Work Environment:This role involves frequent use of a computer keyboard and office equipment. Manual dexterity is required for handling charts and other documents. The role may require stooping, bending, sitting, standing, and moving around for extended periods. Interaction with patients in the waiting room and performing administrative tasks is also necessary.Skills and Qualifications:
- At least 1 year of experience in a physician practice or medical office setting.
- Familiarity with scheduling systems and practice management software (IDX or similar preferred).
- Effective interpersonal and communication skills, with strong telephone etiquette.
- Ability to communicate with multicultural and language-deficit patients.
- Basic keyboarding skills and knowledge of medical terminology preferred.
- Must be adaptable to a fast-growing and changing environment.
Education Requirements:
- High School Diploma or GED required.
