Vanna delivers in-person and virtual community-based engagement through an interdisciplinary team of coaches and clinicians. We leverage partnerships with existing community resources to facilitate support networks unique to an individual's needs and location - connecting them to established psychosocial rehabilitation programs, resources for housing, transportation, etc. and various digital engagement opportunities to address members' needs. About the Role Vanna Health is looking for an enthusiastic, well-organized, and results-driven Practice Manager to join our growing team. This is an office-based role located in the Kensington area of Philadelphia, where the primary duty is to ensure the office operates smoothly and efficiently by supporting the daily operations of the Community Team. The Practice Manager will greet and engage prospective and current members as they visit the office. This role is ideal for someone who wants to support a team solving complex, systemic problems for a member-centric program in healthcare and believes in the ability to make meaningful change through this support. This role will report directly to the VP of Operations for Philadelphia. Responsibilities
  • Manage the daily operations and office space of the Community Team in Philadelphia
  • Greet and assist onsite members and answer inbound telephone calls in a warm and professional manner
  • Triage inbound calls to the appropriate team member and support coordination of communication between the team, members, and partners
  • Develop and manage processes for smoothly running the office (ie parking, packages, office supplies)
  • Organize and coordinate with building management and office vendors to ensure a clean and safe office space
  • Coordinate office meetings and member engagement events
  • Participate in staff meetings as appropriate
  • Manage calendars for the office team
  • Manage billing for services
  • Support with obtaining and organizing member forms
  • Support maintenance of team member appointments
  • Prepare weekly schedules for team members
  • Conduct outreach calls to potential members
  • Conduct reminder calls with members on upcoming appointments and events
  • Assist and support the training of Community Team staff with use of electronic systems
  • Provide administrative support to care team staff
  • Fleet management (e.g., manage vehicle inspections, cleanliness, damages, vehicle logs)
  • Gas and mileage management (e.g., gas card, collecting and organizing gas receipts)
About You
  • Bachelor's degree
  • Willingness to become proficient in Google Workplace tools (Calendar, Documents), Slack, and new tools
  • Tech-savviness and basic computer skills
  • Highly resourceful team-player with the ability to also be extremely effective independently
  • Excellent time management and organizational skills and ability to multitask and prioritize work
  • Strong attention to detail and problem-solving skills
  • Ability to handle sensitive information in a confidential manner
  • Excellent written and verbal communication skills
  • Takes pride in creating warm and welcoming environments
  • Exceptional collaboration skills
  • Thrives in a fast-paced startup environment
