Division/Program Summary Description: The bureau of Facilities Planning and Administrative Services (FPAS) oversees the management, planning, and administration of DOHMH facilities infrastructure and support services. Through budgeting, financial management, Vendor, and contract management. FPAS's role is critical in supporting the administration of Health Facilities and the services they provide to the communities, ensuring both physical and operational environments align with the Department's mission and activities effectively and efficiently. Job Duties and Responsibilities: -Assisting with monitoring and handling payments of 8-million-dollar contract portfolio's and aligning payments with internal funding databases. -Maintaining clear and effective communication with vendors to ensure timely billing and invoicing. -Reviews departmental fiscal requests and DOHMH facility contract proposals. -Prepares and conducts administrative and procedural studies, in collecting and analyzing data on the operations of City contracts making recommendations for improved efficiency. -Uses database statistical analyses to make recommendations of cost-effective procedures. -Evaluate facility service requests and provide consultation in outsourcing vendors. -Provide market and industry research to Project Managers for developing pricing standards to engage contractors in various pricing negotiations. -Provides training to Contractors in invoicing and payment submissions. -Facilitate purchase orders, creating, and monitoring contract budgets. -Receives training in encumbering contract funding, and becoming a team lead in Passport.
