POSITION SUMMARY
As Payroll Administrator, you will be responsible for ensuring the accurate and timely processing of employee payroll. The position requires meticulous attention to detail and the ability to manage sensitive employee data with the utmost confidentiality. The Payroll Administrator plays a vital role in fostering positive employee relations and building trust and morale with the workforce by ensuring employees are paid correctly and ensuring any payroll related issues are resolved promptly. We are looking for a motivated and reliable team player who can work efficiently and effectively, while maintaining accuracy, in a fast-paced environment. The salary for this position is $75,000+ (negotiable based on experience).
This is a hybrid role with commute to our office located in Pittsfield, MA at least 2-3x a week.
RESPONSIBILITIES
* Accurately calculate and process employee salaries, wages, bonuses, and deductions
* Ensure compliance with relevant laws and regulations, including tax obligations and labor laws
* Maintain and update payroll records with any changes in employee status, such as onboarding, promotions, pay increases, transfers, or terminations
* Collect, review, and process time sheets for US and international employees
* Issue paychecks and manage direct deposits
* Perform reconciliation and analysis of payroll reports to ensure accuracy prior to processing
* Process and distribute W-2's and year-end
* Maintain accurate and up-to-date records of employee earnings, deductions, and hours worked
* Ensure confidentiality and security of payroll data
* Regularly audit payroll records to ensure accuracy and compliance
* Collaborate with the HR department to ensure alignment of payroll data with employee records
* Prepare and submit payroll reports to management and relevant authorities
* Generate and provide detailed payroll summaries and analyses as required
* Assist in the preparation of year-end reports and tax filings
* Respond to employee inquiries regarding payroll matters and resolve any discrepancies promptly
* Provide guidance and support to employees on payroll-related matters
* Maintain and update payroll software and systems
* Ensure the accuracy and reliability of payroll technology and tools
* Identify opportunities for process improvements to enhance payroll efficiency and accuracy
* Stay informed of industry best practices and legislative changes affecting payroll administration
* Collaborate with Human Resource department on 401k administration, processing enrollments, changes to elections, ensuring withholdings and employer match is calculated accurately and submitted timely to the 401k Plan
* Processing HSA contributions
* Work cross functionally with the Human Resource department on other benefit administration
* Review benefit invoices for accuracy and code for accounts payable team processing
* Participate in compliance testing and audits as they pertain to payroll data, as applicabl
* Provide payroll data for insurance renewals
* Accurately preparing Certified Payroll Forms for clients, as needed
* Other projects, requests, as needed
* Other reporting to finance team
DESIRED SKILLSET/EXPERIENCE
* Associate's degree preferred
* 5+ years' experience in a Payroll Administration role
* Workday experience required
* Intermediate to Proficient with Microsoft Office product
* Strong verbal and written communication skills and interpersonal skills required
* Demonstrated ability to prioritize work and manage multiple projects concurrently
* Attention to detail
* Maintain strict confidentiality of sensitive client and company information
* Ability to work independently
* Must be flexible and available to work hours outside of regular business hours based on department needs
