Job DescriptionThe Payroll Application System Analyst works closely with Compensation, IT, Finance and HR to ensure timekeeping and payroll applications are properly configured and participates in testing to ensure accurate payroll calculations. Requires strong technical knowledge of ERP system and Kronos applications. Provides ongoing analysis and problem-solving to ensure the integration of technology in effective workflow and process design. This position will assist Payroll Analyst with auditing timekeeping records for compliance with established standards. Responsible for balancing earnings and deduction totals, calculating and preparing general ledger entries, determining, and correcting out-of-balance conditions, balancing tax reports and researching and preparing special reports for Management. This position relies on limited experience and judgment to plan and accomplish goals and works under general supervision.Responsibilities
Payroll Processing - Understanding of Basic Payroll processing to assist with finding errors and resolving issues within the payroll system. Gain an understanding of current payroll and time & attendance applications to trouble shoot issues and recognizes changes that could cause additional problems downstream.
- Effectively communicates with Leadership, HR, IT & Accounting to resolve issues identified during or caused by the payroll.
- Ability to problem solve and prepare balance adjustments accordingly to balance wages and/or taxes to team member records.
- Understanding of payroll tax requirements and validation of system set-up for tax deductions within payroll software.
- Determines needs and designs processes, programs, or systems to enable the organizations to achieve their goals in conjunction with continual process improvement
2. Reporting
- Creates and schedules Payroll Reports as required.
- Assist with W-2 set-up and preparation, reconciled and distributed to employees no later than 15th of January each year.
- Be able to develop and offer design recommendations on reports requested by payroll and other departments related to payroll data.
3. Payroll Balancing
- Works with appropriate staff to correct out-of-balance conditions as evidenced by accurate submission of Payroll wages and taxes are reconciled including quarterly reporting and W-2s at year-end.
- Assist with balance adjustments to team member records as needed.
4. Applications & Other Duties
- Special projects, such as testing for Oracle and Kronos changes are completed as needed.
- Evaluates payroll and time and attendance application capabilities, analyzes workflow/data flow, and creates efficient and logical solutions. Works closely with Finance, HR and IT application analyst to plan, schedule, review, and perform analysis, design, test, and implement assigned technology and application systems. Participates in solution testing and documents clear and concise system descriptions that meet project requirements and departmental quality standards.
- Utilizes organizational project management methodology, processes, and systems to ensure effective and efficient project development and completion. Evaluates requests and provides timetables for completion.
- Develops and implements data driven performance improvement methodologies. Maintains accurate records for use in evaluating organizational performance. Identifies ways of improving current services and consults with management on issues and problems.
- Utilizes IS project management methodology and best practices to improve individual and organizational efficiency, effectiveness, and outcomes.
- Other Duties as assigned are completed.
Qualifications
- 5 years payroll processing experience in addition to at least 2 years experience as Application System Analyst (IS Architect) preferably with Oracle product and Kronos timekeeping systems
- Bachelor's Degree
- Requires a Creative Analytical and Critical Thinking skills. Proficiency in Microsoft Excel is required.
