Pay Range: USD $17.00 - USD $18.87 /Hr. Overview:
Provide Payroll Office with high-level clerical and accounting support including proceduresactivities that are necessary to process bi-weekly payrolls. Perform a wide variety of highly specialized clerical and accounting functions set-up and maintenance of employee records. Manages all pre-employment documentation for all graduate and undergraduate students First point of contact for all telephone calls and walk-in traffic.
Responsibilities:
- Verify completeness and accuracy of documentation relating to terms of employment for all Undergraduate and Graduate student employees
- Proficiency to perform all essential functions in the absence of the payroll specialist
- Competently assist the payroll specialist with processing of all bi-weekly payroll processes in the absence of the payroll manager
- Executes the hiring of all student employees, including the structure of all pre-employment documents inspecting for accuracy and completeness
- Organize and secure all I-9 documents ensuring accessibility for updates and review
- Maintain expertise of the latest I-9 regulations
- Assist with assembly and processing of fiscal year and calendar year payroll functions such as W-2, Annual Wage Rate Notice and Tax Treaties
- Work in collaboration with graduate coordinators checking the accurateness of all graduate student appointments for processing
- Ensure accurate completion of forms in compliance with University and government guidelines, tax laws.
- Duties include cChecking and auditing timekeeping records for compliance with established standards, hiring students to the PeopleSoft HCM system, posting changes in pay and tax status, Process employment verifications and miscellaneous changes.
- Resolves payroll discrepancies by collecting and analyzing information.
- Coordinating and follow up of specialized projects as they arise
- Maintain up to date knowledge to support international employees and Tax Treaties. Collect, verify and complete Tax Treaty data to forward to IRS.
Qualifications:
Minimal Qualifications: High School Diploma or Higher
Preferred Qualifications:
- Analyzing Information, Data Entry Skills, Attention to Detail, Confidentiality, Thoroughness, General Math Skills, Financial Software, Reporting Skills, Verbal Communication, and Organization
- Strong computer skills
Minimal Qualifications: 6 months to 1 year payroll or related experience.
Preferred Qualifications: PeopleSoft HCM and Kronos experience.
Essential Skills:
- Skill in both verbal and written communication to effectively interact with faculty, staff, and students
- Ability to Prioritize and Multi-task with frequent interruptions while still meet processing deadlines
- Maintain the upkeep and confidentiality of Payroll records and files.
- Ability to learn payroll procedures and payroll computing processes. Including PeopleSoft HCM and Kronos.
