Position Title: Payroll & Compensation Administrator Reports To: Human Resource Manager Position Summary: The role performs processing payroll functions, handles compensation related responsibilities, and benefits administration. The individual in this position is responsible for the processing of payroll through third party processor and payroll tax functions, and adheres to the existing KSB, Inc. financial policies and procedures. This role supports the day-to-day operations and administration of group benefits programs, to include group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, travel and accident plan, flexible spending plan, and 401(k) plan, at a minimum. It is the responsibility of the Payroll & Compensation Administrator to support HR leadership with matters relating to compensation changes, analysis, contracts, and negotiations. This individual must uphold our KSB Values, and represent themselves as a respectful member of the KSB Team, at all times. Tasks / Responsibilities:
- Maintain, input, record, and process bi-weekly payroll through a third-party processor
- Track and record overtime; understand and communicate current state and federal overtime laws and requirements
- Work with HR leadership to verify pay increases and bonuses; process all distributions and applicable retro pay
- Reconcile employee deductions and prepare input for journal entries to post payroll amounts to the general ledger
- Prepare and upload electronic file to record 401(k) deductions from employee files to plan administrator
- Administer 401K Plan including, but not limited to compliance, audits, and approvals
- Work with benefits broker, HR, and Finance teams to research employee benefits plans and applicable suppliers vendors to identify those that present the best value
- Assist with managing the benefits plan renewal process
- Serve as primary billing contact for plan vendors and third-party administrators
- Coordinate transfer of data to external contacts for services, premiums and plan administration
- Work effectively to ensure benefit plans run smoothly. Investigate discrepancies and provide information in non-routine situations
- Document and maintain administrative procedures for assigned benefits processes
- Assist in handling enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing
- Oversee maintenance of employee benefits files and updating of employee payroll records
- Gather employee data and oversees the processing of monthly billings and the preparation of vouchers for payment of administrative fees for all group plans
- Serve as main point of contact for employee payroll inquiries and support
- Support all compensation analysis and review projects
- Administer employee allowance programs and platforms
- Understand and process distributions for internal employment contracts and global placements; communicate with involved applicable parties
- Participate in and support employee onboarding process
- Collaborate with other US operating companies for best practices
- Continuous improvement - research new functionality and controls
- Serve as lead on payroll projects - migration to new time clocks
Qualifications: - Excellent effective communication and organizational skills required, both verbal and written
- Ability to ask and answer questions and concerns in a positive manner
- Superior time management skills, and ability to meet numerous deadlines simultaneously.
- Knowledge of finance processes, including controls and verification procedures.
- Computer proficiency and technical aptitude with the ability to use MS Word, Excel and PowerPoint.
- Understanding of benefit plan documents, summaries, and billing.
- Familiarity with federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, COBRA, and Social Security and DOL requirements.
- High level of integrity, confidentiality, and discretion in handling sensitive information.
- Strong organizational skills, including disciplined follow up and follow through of the assigned responsibilities.
- Ability to collaborate and work in a team environment, developing constructive and cooperative working relationships with others, and maintaining them over time.
- Ability to work independently with minimal supervision, but within a strategic framework.
- Proficient user of computer-based tools to accomplish tasks, communicate and collaborate with others.
- Advanced knowledge of ADP required
- UKG Experience required
- HRIS system experience preferred
- Relevant certification or Associates degree required
- 4 year degree in Finance, Business or related field preferred
- Minimum 5 years experience in same or similar Payroll/Compensation role required
