Job Description:
Job Description Primary Purpose of Position: As part of the Human Resources Department, you will contribute to the efficient operations of Payroll Services to ensure effective completion of all internal and external deliverables. The Payroll Coordinator will prepare, process, and review weekly and biweekly payrolls, reconcile payroll-related accounts, and provide reporting and analysis and perform administrative tasks pertaining to the payroll services function. Essential Functions:
  • Ensure accurate and timely processing through preparation and review of multi-state weekly and biweekly payrolls using ADP Vantage payroll system (Vantage & E-Time).
  • Enter and maintain employee information in the payroll system (Vantage & E-Time), including new hires, terminations, transfers/promotions, bonuses, special pays, or deductions.
  • Interface with Human Resources on processing employee transactions and activities related to the transfer of data from the HRIS system to ADP.
  • Coordinate and maintain the supervisor approvals for hourly/salaried employees' time.
  • Prepare and process funding of payroll and benefits plans (401K, FSA/HSA Accounts, etc.).
  • Reconcile 401K accounts and assist in the preparation of year-end true-up calculations.
  • Ensure payroll practices comply with federal, state, and local laws and regulations, including tax filings, wage garnishments and employee benefits.
  • Generate and distribute payroll reports, including earnings statements and other relevant documentation for management and accounting purposes.
  • Address employee inquiries regarding payroll issues, such as discrepancies, tax withholdings, e-Time and time off balances.
  • Ensure seamless payroll operations and resolve any issues working closely with Human Resources and managers.
  • Assist with internal audit requests during payroll related audits.
  • Assist with special projects, audit requests and report requests for quarterly/annual reporting.
  • Assist with the definition, implementation and maintenance of policies relative to tax and accounting law changes.
  • Interface with department members to process employee transactions and activities related to the transfer of data from the HRIS system to ADP.
  • Other duties as assigned.
Requirements and Qualifications:
  • Associate's degree required. Bachelor's degree in accounting or business administration is preferred.
  • A minimum of 1-3 years of related work experience highly desirable.
  • Proficiency with Microsoft Word, Excel, including pivot tables & v-lookups.
  • Previous experience with ADP Vantage preferred.
  • Knowledge of Federal and State regulations and laws.
  • Keen sense of professional integrity; able to maintain a high-level of confidentiality working with sensitive information.
  • Ability to communicate both verbally and in writing across all levels of the organization in a clear and concise manner.
  • Ability to multitask and prioritize tasks.
  • Time management skills with ability to meet strict deadlines.
  • Ability to efficiently work independently, as well as part of a team.
  • Team player with a positive can do attitude.
  • Organized and detail-oriented, strong analytical/problem-solving ability.
  • Excellent communication and customer service skills.
Physical Requirements:
  • Involves work of a general office nature usually performed sitting such as answering the phone and operation of a computer.
  • Involves work of a general office nature usually performed standing such as operation of a photocopier and a fax machine.
  • Involves movement between departments to facilitate workflow.
Internal and External Contacts:
  • Regularly interfaces with Employees, Payroll Services, Human Resources, and Accounting. Occasionally interfaces with other Boston Properties' employees from various departments and vendors/contractors.
Reporting Structure:
  • This position reports to the Manager, Payroll Services who provide supervision, guidance, and evaluate work on a periodic basis.
