Job Title: Payroll Coordinator Department/Group: Business Department/Clerical Position Summary/Purpose: To serve the Business Office effectively through payroll administration, disbursement processing and general accounting support. To apply basic and some advanced level bookkeeping and accounting skills to help ensure the proper functioning and accountability of fiscal operations. To assist in maintaining a professional, friendly, positive, and respectful work atmosphere with an emphasis on teamwork and providing effective and timely direct service. Role and Responsibilities / Essential Job Functions: - Verify attendance, hours worked, and pay adjustments & post info onto designated records
- Review time sheets, wage computation, and other info to detect & reconcile payroll discrepancies
- Support HR Department with new white entry in the payroll system and attendance reporting
- Compute wages and deductions, and enter data into Skyward
- Record employee information, such as transfers & resignations, to maintain & update payroll
- Process and issue employee paychecks and statements of earnings and deductions
- Compile employee time, production, and payroll data from time sheets and other records
- Complete TRS, Certified and Non-Certified Salary Study reports
- Issue and record adjustments to pay related to necessary corrections or retroactive increases
- Remain current in knowledge of changes in tax & deduction laws that apply to the payroll process
- Compile statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departments
- Assist with various projects in finance and accounting as requested
- Assist and review with the Director of HR all payroll benefit services, activities, plans and reports
- Maintain various payroll-related ledgers, journals, and other accounting records; perform necessary account balancing and reconciliation tasks
- Assist in the monthly reconciliation of the Flexible Spending Account (FSA) checking account.
- Prepare payroll-related government reports and records; submit quarterly and annual payroll reports as required by TRS, IMRF, Social Security and the IRS
- Organize and maintain various files and records related to payroll accounting functions
- Inform employees in advance of any issues or changes impacting paychecks; apprises staff of changes in IMRF and TRS systems
- Prepare, calculate, & process contributions & deductions such as FSA, 403b, IMRF, & TRS
- Assist callers and visitors with a variety of basic and specialized questions about the District and specifically about payroll concerns and redirect callers as necessary
- Maintain professionalism and confidentiality
- Maintain (and create as needed) standard operating procedures for payroll purposes and assist with the cross-training of identified District personnel
- Participate in payroll and benefit meetings with staff throughout the year
- Perform other duties as assigned and appropriate to the position
Preferred Skills: - Experience in school business office
- Experience with school-related software (e.g. Skyward, TRS, and IMRF systems)
- As a multi-language district, we always prefer staff who are bilingual but it's not required for this position
Qualifications and Education Requirements: - Associates degree or higher in Accounting or related or 3 years comparable payroll experience
- Previous experience with payroll/accounting/bookkeeping
- High level of computer skill including data entry, information retrieval, and spreadsheets
- Work with mathematical concepts and statistical inferences and apply concepts, such as fractions, percentages, ratios, and proportions
- Work independently and in a small group and work with minimal direct supervision
- Excellent oral and written communication skills
- High accuracy and attention to detail/Strong organizational skills.
Working conditions / Environment: Physical Demands: mobility throughout the office facility, visual acuity close/distance/depth perception, hearing to receive information, verbal to exchange information, sitting for prolonged periods of time, manual dexterity for computer keyboard & telephone use. Physical demands include bending, twisting, stooping, reaching forward, reaching overhead, lifting up to 25 pounds from the floor, pushing & pulling.
