Category Accounting/Finance DescriptionPosition Summary: We are seeking a highly organized and detail-oriented Payroll Coordinator to process bi-weekly payroll for exempt and non-exempt employees. The ideal candidate will have experience with complex payroll systems, including Road Pay and project-based timekeeping, and must be proficient with ADP and Paychex platforms. This role ensures timely and accurate payroll processing while maintaining compliance with company policies and federal/state regulations. Key Responsibilities: Process bi-weekly payroll for exempt and non-exempt employees, ensuring accuracy and compliance with applicable laws and regulations. Manage Road Pay calculations, including travel time and off-site compensation rates for domestic and international assignments. Oversee project-based timekeeping, ensuring accurate tracking and reporting of hours worked on various projects. Maintain and update payroll records, including new hires, terminations, salary changes, and deductions. Audit payroll data to ensure accuracy in hours, pay rates, and deductions. Ensure compliance with federal, state, and local payroll regulations and company policies. Collaborate with HR and Accounting departments to address payroll discrepancies and resolve issues promptly. Generate and distribute payroll reports, including summaries for management review. Ensure timely submission of payroll taxes and other required filings. Provide support for payroll-related audits and assist with year-end reporting, including W-2s. Qualifications: Experience: Minimum of 3-5 years of payroll processing experience, including exempt and non-exempt payroll. Systems Knowledge: Proficiency in ADP and Paychex is required. Experience with time-tracking systems and project-based timekeeping is essential. Road Pay Expertise: Strong understanding of Road Pay policies and travel compensation practices. Education: Bachelor's degree in Accounting, Business Administration, or related field preferred, or equivalent experience. Technical Skills: Proficient in Microsoft Excel and other Microsoft Office applications. Regulatory Knowledge: Strong understanding of payroll tax laws, wage and hour laws, and compliance standards. Key Competencies: Excellent attention to detail and strong analytical skills. Ability to handle confidential information with discretion. Strong organizational and time-management skills, with the ability to meet deadlines. Effective communication skills, both written and verbal. Problem-solving mindset and ability to work independently or collaboratively as part of a team. Work Environment and Physical Demands: Office-based position with minimal physical demands.   • Proven experience as a payroll coordinator or similar role
  • Familiarity with payroll processes
  • Working knowledge of payroll systems; Paychex experience a plus
  • Proficiency with Microsoft Suite, especially Excel
  • Possess an analytical mind with good math skills
  • Strong communication skills
  • Excellent attention to detail
  • Proven organizational skills. Ability to meet deadlines
  • Work cooperatively and effectively with others to set goals, resolve problems and make decisions that enhance organizational effectiveness
  • Ability to maintain confidentiality, discretion and protect sensitive documents
  • Task oriented despite interruptions. Must be able to multi-task
  • Bachelor's Degree preferred; but relevant work experience will be considered

Physical Demands: This is primarily sedentary work. Continuously requires vision, hearing twisting, talking and repetitive motions of the wrists, hands and fingers.
