Job Description:

Admin - Immediate opening for Office Manager/Bookkeeper/HR & Payroll Administration. Candidate must have 2-3 years of experience in an office setting. Accounting or bookkeeping background and payroll administration is beneficial. Key components and requirements to properly assist senior management with all daily office operations include and are not limited to the following qualifications:

  • Experienced with QuickBooks and bookkeeping
  • Bilingual (English/Spanish)
  • Have confidence and be sure of oneself
  • Great organizational skills and detail oriented
  • Proficient with Excel, Word & Outlook
  • Prefer a 4 year degree or AA with office experience.
  • Reliable and punctual -Self-starter with good time management skills
  • Interpersonal communication skills

Responsibilities include and are not limited to the following:

  • Administer the payroll entry into the 3rd party payroll processing system
  • Verify the accuracy of the payroll
  • Input the weekly payroll records into the QuickBooks accounting system
  • Maintain employee HR files
  • Maintain DOT driver records in the 3rd party file system
  • Maintaining inter-departmental attendance records and time worked/ missed
  • Recording cash receipts and make bank deposits
  • Conduct a monthly reconciliation of bank accounts
  • Ensuring collection of receivables are prompt
  • Ensuring proper implementation of office procedures and guidelines
  • Providing administrative support to management as requested
  • Ensuring day-to-day operations run smoothly, inter-departmentally
  • Maintaining implementation and proper processing of office benefits: Medical, Dental, Vision, 401(k)
  • Conducting periodic reconciliations of certain current asset accounts to ensure their accuracy
  • Maintain a small petty cash box
  • Maintaining accounting controls by following policies and procedures; complying with federal, -state, and local financial legal requirements
  • This position is responsible for overseeing the workflow of a 6 person office with limitations. Therefore, interpersonal communication skills are a must.
  • Office works as a team and this position is a team leader

Job Type: Full-time/Part-time/Contract

Pay: $29.00 - $45.00 per hour

Expected hours: 40 per week
