Position Summary : This position will be responsible for processing all aspects of weekly payroll for employees and provides administrative and clerical support to the Human Resources department. Essential Duties & Responsibilities :
- Process manual timecards and worksheets to insure accurate and timely running of union and non-union payroll.
- Perform payroll duties requiring knowledge of standard practices used in the preparation, distribution, and maintenance of payroll and payroll records.
- Ensure that all payroll transactions are processed timely and accurately.
- Prepare special payments, complex pay and payroll deduction calculations ensuring compliance with company policies, union contracts and federal and state regulations.
- Review payroll documents for compliance with policies and procedures.
- Verify accuracy of data entry and computations of withholding tax, deductions, and overtime compensation.
- Identify, research, and assist in the resolution of payroll related discrepancies.
- Stay current on regulatory, legal, and other payroll developments to foresee and/or address payroll initiatives and issues.
- Research and effectively communicate, both verbally and in writing, with employees and departments.
- Accurately calculate and process union retro payments as required.
- Ensure records are maintained according to record retention requirements.
- Prepare stop payments, void checks, direct deposit reversals and overpayment collections in accordance with company, federal, state and union regulations.
- Ensure accuracy of payroll records by maintaining database with updates in status changes, tax withholdings, benefits deductions, time off accruals, etc.
- Answering employees' questions and concerns regarding payroll.
- Entering employee information and payroll data into the system.
- Prepare monthly union reports.
- Review employee time information from timekeeping system for accuracy and completeness and follow up on missing or unapproved timesheets.
- Provide support to the HR team with various tasks as needed
Qualification/ Requirements:
- Strong organizational skills and attention to detail.
- Effective communications skills, in writing and verbally.
- Ability to monitor strict deadlines and plan, coordinate and execute assignments.
- Proficient in Microsoft Office or similar software with the ability to learn new or updated software.
- Knowledge of Microsoft Excel.
- Ability to work independently and follow directions.
- Ability to analyze and interpret data.
- High level of confidentiality required.
- SAGE 300 experience preferred.
- Data entry, payroll processing, clerical experience.
- Understanding and working knowledge of payroll processes and systems, preferably in a union environment.
- Knowledge of state and federal payroll regulations.
- Previous experience processing union payroll preferred.
- Knowledge of payroll software is beneficial.
- Ability to function well in a high-paced environment and multiple competing priorities.
Education/Training:
- High school diploma with at least five years of relevant experience required OR Associate's degree with at least three years of relevant experience
- Bachelor's degree in business administration or related field preferred .
- Three to five years of experience in an administrative role.
Additional Information:
- Must show proof of your legal right to work in the United States.
- This position requires US Citizenship due to clearance required for base access.
- Must be able to successfully obtain a Transportation Worker Identification Credential (TWIC)
- Must be able to successfully obtain a Defense Biometric Identification System (DBIDS) Credential to gain access to federally controlled work sites.
- All candidates must submit to and pass a post-offer drug screening and a background check before employment begins. Failure to complete any of these steps will result in disqualification.
- Valid State of Hawaii drivers' license in good standing
