They will support the payroll coordinators and clerks with all customer payroll processes and ensure all compliance with government regulations are met. This role will also provide guidance and evaluation management for the team and provide updates and recommendations to the Director of Payroll. As the Payroll Manager you will assist in alternating in person time along with the team to support any payroll runs or document requirements on occasion as well** Hours: Monday - Friday 8:00 am - 5:00 pm PST Salary: $85,000.00 - $105,000.00 - Depending on Experience. Essential Functions include, but are not limited to the following:*
  • Oversees the payroll team in preparation, issuance and distribution of bi-weekly paychecks for all employees.
  • Oversees the work of Payroll Specialists, Tax Specialists, Payroll Coordinators, and coordinates training of new payroll team members, ensuring compliance with company policies and compliance with federal/state/local statutory regulations.
  • Communicates deadlines and requirements to other departments in a positive and effective manner.
  • Maintains payroll information by collecting, calculating and entering payroll data and posting to payroll records via Workday system.
  • Establish and maintain detailed automated permanent employee records; ensure that employee changes are entered accurately and made on a timely basis; review changes for proper authorization and adherence to company policies and compliance with federal/state/local statutory regulations.
  • Reviews wage computations including retro pay, correcting errors and making necessary adjustments, to ensure accuracy of payroll.
  • Proofs employee data in Workday system and completes new hire information; reviews changes in existing employee information, status, location, rate of pay, taxes, insurance deductions or garnishments as needed to update master payroll records.
  • Reconciles and researches discrepancies in payroll reports, such as Personal Time Off accruals and retirement contributions, to maintain accurate balances.
  • Reviews Instructional submission of incentive spreadsheets considering multiple parameters, and coordinates issuance of incentive payments.
  • Interfaces with the accounting department to ensure proper budgetary allocation of payroll costs for accurate cost accounting.
  • Works with Executive and HR departments to confirm appropriate coding and allocations for regulatory requirements.
  • Oversees full processing of employee garnishments and levies.
  • Oversees completion of any employee audit reports or data requests from government agencies.
  • Assist with resolution of payroll-related issues and assist with changes to and implementation of company policies regarding payroll and benefits.
  • Oversees year end payroll functions.
  • Provides documentation for Retirement Funds audits, Workers Comp audits, and governmental inquiries.
  • Reviews and prepares retirement contribution and benefits remittance statements, reconciled with payroll records, for payment by the appropriate Charter and accurate cost accounting.
  • Prepares miscellaneous payroll-related correspondence, memos, spreadsheets, reports and forms as needed.
  • Monthly assistance with active employee report as used for FTE verification reporting to districts and CDE.
  • Assists with other functions and duties as requested or assigned.
  • Prepare a variety of reports, either on a recurring or ad hoc basis, to support the needs senior management, the Finance department, and other key stakeholders.
  • Serve as a resource to all employees for payroll related questions. This includes but is not limited to tax withholding questions, PTO, and sick accruals, 40l (k) /403 (b) deductions, and incentive compensation, deferred garnishments, Workday time entry questions from non-exempt employees.
  • Perform any other duties as assigned.
Knowledge, Skills and Abilities Required:
  • Strong leadership skills with the ability to train, direct, delegate, and motivate staff.
  • Knowledge of state and federal wage and hour laws and withholding requirements.
  • Ability to interpret and apply company policies to payroll implementation (i.e. benefit eligibility).
  • Ability to communicate with co-workers and business contacts in a courteous and professional manner.
  • Must possess the ability to work independently and coordinate multiple tasks simultaneously with minimal supervision.
  • Strong organization, communication and interpersonal skills.
  • Excellent analytical skills with attention to detail.
  • Ability to work efficiently, independently, and multi-task to meet deadlines with minimal supervision.
  • Ability to exercise reasonable judgment and maintain confidentiality.
  • Working knowledge of accounting principles.
  • Proficient knowledge of payroll systems.
  • Excellent knowledge of MS Office, especially Excel, and Google Suite.
Education and Experience:
  • BA/BS degree required.
  • CPP Certification preferred
  • At least 6 years of experience processing payroll required.
  • At least 3 years of relevant supervisory experience preferred.
  • Payroll experience in a complex multi-company, multi-department and multi-state organization.
  • Workday system experience preferred.
