Position Summary

The Office of The Controller is seeking a dynamic Payroll Specialist to join their team.
The Payroll Specialist will be responsible for ensuring the accurate processing of payroll to the faculty and staff of the institution; including but not limited to: exempt and nonexempt staff, faculty, graduate and undergraduate students, foreign faculty and students, visiting professors, temporary and on-call employees.
Knowledge | Skills | Abilities:
+ Knowledge of high-volume payroll systems, processes, and procedures.
+ Knowledge of institution personnel/payroll practices and procedures.
+ Knowledge and understanding of payroll documentation procedures and requirements.
+ Knowledge of mathematics.
+ Knowledge of general accounting principles.
+ Knowledge of human resources and financial reporting systems.
+ Knowledge of federal and state tax and retirement laws.
+ Knowledge of procedures and standards for check processing in a educational institution environment.
+ Skill in the use of computer spreadsheet, database, and mainframe applications in a Windows environment.
+ Skill in the use of personal computers and related software applications.
+ Ability to analyze and solve problems.
+ Ability to understand and process complex paperwork.
+ Ability to make administrative/procedural decisions and judgments.
+ Ability to audit and maintain financial records.
Desired Experience:
+ Previous work experience with Kronos.
+ Ability to provide accurate and efficient service under the stress of constant deadlines.
+ Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies.
Minimum Qualifications
+ Two (2) years of college education or Associate's Degree. Bachelor's Degree is preferred. Degree must be from a regionally accredited college or institution.
+ Three (3) years of experience that is directly related to the duties and responsibilities specified. In lieu of educational requirements, experience may be substituted on a year for year basis.

Job Duties
Description of Job Duty
- Ensures the accurate processing of wage and other compensation payments to exempt and nonexempt staff, faculty, graduate and undergraduate students, foreign faculty and students, visiting professors, temporary and on-call employees.
- Reviews, approves/disapproves, and corrects personnel and payroll-related documents generated by administrators, faculty, and/or staff.
- Prepares and enters financial data, to include payroll labor and benefits expenses, into Banner; transfers payroll labor account distribution as appropriate; analyzes, reconciles, and balances data processing and electronic time input batches.
- Reviews and updates employee tax and retirement records in accordance with prevailing tax codes and legislative mandates.
- Researches payroll overpayments, and prepares and processes receivables documentation, as appropriate.
- Assist the payroll manager in analyzing and establishing transactions needed for voiding checks, issuing call-backs from financial institutions, and reissuing checks; approves and processes special checks as required.
- Assists faculty, staff, students, and external individuals and entities, as appropriate, in the procedural understanding and application of payroll and related human resources policies; advises employees on issues related to policies, and resolves associated individual problems as required.
- Adjusts, audits, and maintains records on worker's compensation; audits and maintains sick/annual leave records for all eligible faculty and staff.
- Compiles and maintains data necessary to calculate and process payments for annual/sick leave payoff upon employee termination.
- Prepares payroll reports to internal and external agencies as required.
- Performs employee training on payroll time and attendance module.
- Act as lead payroll specialist in absence of payroll manager.
- Performs miscellaneous job-related duties as assigned.

It is MSM's Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate's offer of employment or disciplinary action up to and including termination.
