At 1/ST Technology, innovation drives us to create dynamic digital experiences in the horse racing and gaming industry.The Payroll Specialist position is responsible for the administration, coordination, support, evaluation and management of day-to-day payroll operations (full payroll/time system activities) encompassing duties impacting the full employment life cycle of the employee population. The position reports to and receives direction from the Senior Vice President of Finance. This position takes a lead and professional role in organizing, coordinating and carrying out all payroll projects and processes. The role performs administrative, support and lead duties affecting employee populations in the US for two companies/entities with a day-to-day focus on one entity. The Payroll Specialist is a vital source of payroll and reporting information and works in a highly visible role. The role is the first point-of-contact employees interact with related to payroll items. The position compiles and/or assists with all payroll record-keeping to ensure all financial requirements of the Company are being met. - Proactively prepares for and completes all payroll duties associated with bi-weekly payroll for one entity (regular basis) including processing payroll and compiling payroll data to maintain accurate payroll records (reviewing work time entered by employees in system for completeness and accuracy)
- Interfaces with third-party Payroll/HRIS service provider
- Serves as the main point of contact for all Payroll activities, processes and reporting. Maintains awareness of laws and regulations directly impacting the company including payroll and financial activities and shares knowledge/information with the Finance/Payroll team
- Fields and responds to payroll inquiries and resolves discrepancies
- Serves as Payroll backup to Payroll team members based on fellow entity payroll
- Interacts with all department management team members related to payroll issues affecting team members including any missed work hours
- Performs duties associated with (including but not limited to): all applicable taxes; payroll journal recording; ad-hoc bank transactions; assisting with account reconciliations; analysis/reporting; garnishments
- Monitors employee 'time away from work bins', i.e. PTO, vacation, sick, personal, etc.
- Performs actions necessary to track and determine regular pay and overtime pay. Screens time-worked inputs for calculating, coding or other errors. Reconciles errors and maintains payroll records.
- Calculates and processes federal and state taxes and social security withholding, union dues (where applicable) and/or other deductions.
- Ensures payroll-related transactions are processed in compliance with external and internal policies
- Facilitates and manages weekly, monthly and/or annual company reporting (internally and externally) which includes but is not limited to: Company specific and/or mandated Finance/Payroll reporting and SOX and Auditor required reporting; benefits/payroll administration; compensation administration; LOAs (Leaves of Absence). Maintains all records, logs and reporting in compliance with Finance/Payroll regulations. Creates on-going month-end, quarterly, year-end and ad-hoc organization reports for US and Canada including compiling internal management reports from payroll system.
- Reconciles payroll deposits, tax withholdings, wage garnishments and voluntary payroll deductions
- Participates in and/or leads efforts related to company audits involving Payroll reporting and/or data; Prepares payroll information and documentation for audit purposes
- Prepares responses to notices from governmental agencies regarding employee tax filings and assists with tax return preparation when necessary
- Tracks payroll related invoices as received
- Scans, uploads and files payroll documents
- May enter new hires into Payroll/HRIS system
- May process employee status changes in the Payroll/HRIS system
- May process unemployment claims
- May process employment verifications
- Stays current and maintains knowledge of rules and laws which govern the payroll administration policies and practices
- Performs other duties as assigned
- Associate's or Bachelor's degree in Finance or related field
- Minimum of three (3) years of payroll experience including but not limited to: payroll processing (full time system activities), tax filing, tax reconciliation and accounting/general ledger experience related to payroll
- Proficient and current experience in working with payroll systems specifically ADP Workforce Now (Essential Time or Enhanced Time)
- Proficient in Microsoft Office Suite and similar software (One Drive, Google Docs)
- Effective, consistent and impeccable communication (verbal and written), detail-oriented, interpersonal, organizational, presentation, teamwork, time management and training skills
- Analytical and problem-solving skills
- Demonstrated ability in ensuring compliance with federal, state and local regulations
- Ability to maintain confidential information and knowledge of confidential matters

- Preferred Experience and/or Education: Prior experience with employee populations of 150-500 employees; Prior experience with facilitating payroll function for two entities; Knowledge of basic accounting principles; ADP WFN Custom Reporting experience; Knowledge of horse-racing
