Job Summary

The Payroll Specialist is responsible for performing a range of accounting and clerical tasks related to the payroll function such as calculating pay, deductions and issuing checks.

Essential Duties and Responsibilities

Payroll

* Set up new hires in Viewpoint (union & non-union) including deductions, liabilities, & appropriate PTO's. This includes updating union rates promptly

* Set up employee garnishments (ex. child support, tax)

* Process and Pay Monthly AFLAC invoice

* Weekly timecard processing for both union and nonunion staff

* Review timecards for any discrepancies in hours

* Send reminder emails to late-time approvers to ensure payroll is processed timely. (payroll/timecard approvals)

* Process payment via paper check or direct deposit and send out paystubs

Review Paid Time Off (PTO)

* Weekly reconciliation of PTO using payroll and HR System

Benefit Deductions

* Set up / update deductions and liabilities for selected benefits

Payroll Taxes & 401k

* Prepare and remit weekly payroll taxes for federal and multi state as well as 401k

* Record weekly disbursements

Union

* Weekly union remittance

* Maintain updated union rates in payroll

* Handle union audits

Certified Payroll

* Prepare and provide weekly certified payroll for specified projects

Payroll Reconciliation

* Prepare weekly/monthly/quarterly payroll reconciliation for various payroll accounts

* Prepare reports/backup for weekly payroll taxes & employee 401k deferral and loan remittance

Additional Responsibilities

* Assist the Assistant Controller with special projects

* Other duties as assigned

Qualifications

* Associate Degree in Accounting, Business, related field or a combination of education and work experience

* 3-6 years of performing payroll functions in a corporate environment; Construction Industry experience preferred

* Proficiency with computer applications, including Microsoft Office Suite (Word, Excel). Viewpoint/Vista or Procore a plus

* Familiar with payroll laws and regulations at multi-state level

* Effective verbal and written communication skills

* Efficient analytical and general math skills

* High level of integrity and discretion in handling confidential/proprietary information

* High level of time management and organizational skills. Detail oriented with a sense of urgency
