YOUR OPPORTUNITY As a Payroll Specialist for ZEGNA, you will be a critical member of the HR team, overseeing payroll administration, maintaining employee time records, and supporting the employee lifecycle. Reporting to the Compensation and Benefits Manager, you will ensure that bi-weekly payroll is processed accurately and on time for both the US and Canada, in compliance with all applicable government regulations. Additionally, you will assist with the onboarding process and other payroll-related functions. This role is based in our New York City corporate office. The key responsibilities of this position include, but are not limited to: Payroll & Time Keeping: Process bi-weekly payroll for US (UKG) and Canada (ADP); ensuring accurate transactions for salaries, benefits, garnishments, taxes, deductions, and other compensation. Maintain HR systems weekly, including employee compensation details (salaries, hourly rates, commissions, bonuses), time worked, paid leave, address changes, and more. Manage payroll updates for new hires, terminations, and pay rate changes. Audit employee changes such as tax status, address changes, and benefits updates to ensure accuracy. Ensure the accuracy of submitted hours, including overtime and paid benefit time, for all employees. Oversee tax filings and year-end reporting, including W-2 fillings. Issue replacement checks or reissue direct deposits in case of payroll errors or final discharge. Ensure proper coding of earnings, deductions (e.g. 401k(k)), and tax exemptions. Run monthly 401(k) reports, including deferrals and employer match contributions: coordinate with finance for funding. Track and reconcile paid time off accumulations and ensure accurate payroll payments. Maintain Year-End Taxable Fringe Benefits and 3PSP data for year-end reporting. Calculate average hourly rates for commission draw employees on a bi-annual basis. Generate and submit general ledger files after each payroll cycle to finance, addressing any discrepancies or inquiries. Manage monthly union invoices. Comply with federal, state, and local payroll, wage, and hour laws. HRIS & Systems: Generate various HR and Finance reports as needed. Onboard and offboard employees into our local and global HR systems (UKG and HRz) Ensure the seamless integration of local payroll with the global HRIS system. Manage payroll data interfaces with third-party vendors for insurance and 401(k). Act as the main point of contact with third-party payroll providers. General: Process employment verification and assist with unemployment claims. Oversee employee clothing allowance program. Support the 401(k) 5500 filing process. QUALIFICATIONS: 3-4 years of payroll experience; retail industry knowledge is a plus. Experience with UKG Pro and UKG Ready is preferred. Solid understanding of federal, state, and local payroll regulations. Advanced proficiency in Microsoft Excel. Strong written and verbal communication skills. Ability to organize and prioritize tasks to meet deadlines. Strong analytical mindset with the ability to evaluate data critically and propose solutions. Professionalism, integrity, and confidentiality in all aspects of the role. COMPENSATION: The pay range for this position is $85,000-$95,000 annually. The rate of pay is dependent on candidates' relevant skills and experience.
