Job Description The Payroll Specialist II will process payroll. Principle responsibilities include validating inputs to the payroll process, ensuring payroll data is accurately completed and submitted to the 3rd party provider by established deadlines, managing garnishments and other common payroll deductions, coordinating with employees/STF management regarding pay and preparing/distributing labor reports for management, as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES: This list is not intended to be all-inclusive and other duties may be assigned:
- Collect, review and upload earnings and deductions data generated by other departments necessary to complete the payroll process.
- Complete the weekly payroll packet, which contains all the documentation supporting the required activities to complete and process payrolls.
- Submit payrolls for preprocessing and final processing each week to the 3rd party provider.
- Adhere to deadlines for updating employee payroll information into payroll systems.
- Assist with auditing time and applying schedules within the time and attendance system, working closely with members of management.
- Collaborate with Human Resources/Benefits/Orientation to ensure all necessary information is accurate and entered ADP for payroll processing.
- Assist with preparing and distributing reports to management summarizing information such as daily/weekly gang times, FTEs by department, standard vs. actual manning by department and other similar information.
- Review manual and automated reports and determine accuracy, need and use by management and/or as required by local, state or governmental regulations.
- Identify and report opportunities or deficiencies with existing processes to management, along with recommendations for resolution.
- Stay abreast of changes in payroll systems and practices as well as changes in local, state or government regulations.
- Document processes and create training material, as needed.
- Address and resolve employee questions/complaints relating to their hours worked and wage information.
- Prepare and reconcile STD and benefit reports to reconcile and compute payments for processing of payroll.
- Prepare/Issue manual checks for active or termed employees; prepare journal entries and post to general accounting log.
- At end of each payroll cycle review payroll reports against ADP wire information.
- Maintain all payroll records including timesheets, deductions, withholdings, vacation payments, retroactive pay increases, benefit plan amounts, and other files and records for reports and auditing purposes.
- Process employee verification of employment (VOE)/child support and garnishment requests.
- Other duties as assigned.

EDUCATION and/or EXPERIENCE: Requires two years payroll experience with automated payroll and time and attendance system or Associates degree in Accounting with some payroll experience and/or experience with HRIS systems will be considered as payroll experience. ADP experience preferred, but not required. Must be detail-oriented, self-motivated, and able to work with little supervision in a fast-paced, multi-task, team environment. COMMUNICATION SKILLS: Must have excellent written and verbal communication skills. Ability to adapt, read, analyze, and interpret general business periodicals, professional journals, technical procedures, and/or governmental regulations. Ability to effectively present information and respond to questions from management and employees. LANGUAGE SKILLS: Ability to read and interpret documents in the English language such as safety files and procedure manuals. Must be able to effectively communicate with candidates, hiring managers and others within and outside of the organization. Bilingual skills (English/Spanish) a plus. MATHEMATICAL SKILLS: Ability to apply mathematical applications to practical situations. Must possess strong analytical and metric-based skills. Ability to identify and correct errors to ensure accuracy before payroll processing. REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical, diagram, written and/or verbal form and deal with several abstract and concrete variables. OTHER SKILLS AND ABILITIES: Must be computer literate in Excel, Word, and Outlook and capable of creating and manipulating spreadsheets. The ability to learn and effectively use any and all other computer programs that are or will be made available. The ability to be flexible in work duties and to expand knowledge of the work area. Ability to establish and maintain effective working relationships with all levels of the plant production team. Must hold a valid driver's license due to regular business travel. PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to talk or hear. Generally the incumbent must be able to sit and use a computer for extended periods of time. The employee frequently is required to stand; walk; move about the facility; use hands to finger, handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. NORMAL WORK SCHEDULE: The hours and days of work will be Monday - Friday, established by departmental needs and at the discretion of management. Must be available to work holidays and weekends to process payroll by established deadlines by 3rd party administrator.
