Summary: Responsible for ensuring positive and ongoing homeowner participation in Peaks Hotel, LLC. Rental management program, the Owner Coordinator plays a key role in driving homeowner engagement, homeowner revenue, and lodging revenue. Responsible to maintain solid relationships with homeowners of units at The Peaks Resort & Spa and See Forever Village, interfaces with homeowners associations and Board of Directors, accounting, guest service operations, housekeeping and maintenance and other Telluride Ski Resort departments in support of rental management. Develops and delivers information about the advantage of rental management participation, continuously fosters positive relationships with our homeowner partners.
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
- Contribute to the overall homeowner experience and property management functions; our mission is to have Happy Homeowners!
- Must be passionate about top-notch customer service. This job requires going above and beyond multiple times daily in the deliverance of customer service; this is a high-touch sales and service department.
- Administer new or existing homeowner accounts once contracts have been signed.
- Liaise with realtors and potential buyers regarding rental program, and Association business. Assist in coordinating and hosting networking events including owner receptions and realtor luncheons.
- Coordinate contract documents to ensure all have been collected and filed, including but not limited to the Unit Management Agreement, Service Only Agreement, insurance documents, and W9. Enter owner contracts into computer according to standard operating procedures.
- Participate in home rating services, write and distribute rental rating reports, educate owners on the importance of maintaining their homes to the highest standards possible.
- Coordinate with Association management, housekeeping, maintenance, front desk/concierge, and all operational teams to fulfill homeowner concerns and needs.
- Keeps current with all Peaks Hotel, LLC. Rental program agreements, products, lodging rates, marketing and revenue management strategies, and owner discounts and benefits.
- Maintain accurate files and reports.
- Create and send regular owner communication pieces, such as monthly newsletter, website updates, business letters and emails.
- File owner contracts.
- Conduct monthly owner statement review, makes any necessary corrections, data entry of nonroutine maintenance and housekeeping expenses, prepares final statements and rental checks to be delivered to the owners, answers all owner lodging accounting questions, and coordinates with accounting in the preparation of the year-end tax statements.
- Answers all incoming calls promptly, in an attentive, courteous and efficient manner.
- Enter Owner reservations into computer according to standard operating procedures, prepared and review owner arrival reports and reservations for booking accuracy and housekeeping instructions and billing, conduct at a minimum 5 owner arrival inspections per week, coordinate owner deliveries and requested concierge services.

- Knowledge of and adheres to Skier Responsibility Code and Colorado Skier Safety Act.
- Assist in Association meeting planning, and meeting minute taking.
Supervisory Responsibilities: This job has no current supervisory responsibilities.

Education and/or Experience: Bachelor's degree (B. A.) from four-year college or university; or three to five years related experience and/or training; or equivalent combination of education and experience.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of Reservation software; Exchange/Outlook Internet software; Microsoft Excel Spreadsheet software and Word Processing software.

- Ability to be flexible in your work schedule based on the needs of a 24/7 resort business. The schedule may vary according to season and can consist of early mornings, evenings, weekends and holidays.
