Job DetailsJob LocationShoreline Children's Services, North Branford, CT 06471 - North Branford, CTPosition TypePer DiemEducation LevelHigh SchoolSalary Range$20.00 - $20.00 HourlyJob ShiftAnyPer Diem Administrative Support StaffPOSITION SUMMARY: Administrative support staff is responsible for the smooth running of a busy office that maintains professional standards in an environment that is respectful of clients and their families, clinical and direct service staff and members of the general public.The hours for the position are Monday - Wednesday 1:30pm-7pm and Thursday 1:30pm-7:30pm. The locations for this role will be Ansonia, Derby and/or North Branford. Accountable and responsible for the following results:This position works on a team of peers that encompasses two clinics, each take on a portion of the daily duties and responsibilities to ensure that all tasks are complete at day end. Each staff is trained in and may be required to execute any or all of the below responsibilities:
  • Participates and supports a team-based approach to administrative support services that allows for flexibility, back-up support, and team-based planning for providing administrative support to assigned BHcare programs.
  • Greet clients and visitors at check in, documenting attendance and informing staff as required; Updating client information as needed.
  • Assists in the management of the waiting rooms and to ensure clients are comfortable and treated respectfully while on site.
  • Schedule MD and Clinician appointments as well as manage client cancellation list and backfill appointments.
  • Prepares memos, correspondence, forms and other documents, including transportation related information, and other databases as assigned. Create and document releases as needed.
  • Maintains accurate and up-to-date filing and record-keeping systems including both paper-based and electronic systems.
  • Collect and copy insurance cards and other client information regularly. This includes collecting co-pays and rent checks and logging them in if necessary.
  • Prepare and expedite reminder calls daily by utilizing the automated web-based tool or manually call clients as needed depending on site.
  • Manage and distribute incoming and outgoing mail and packages for the clinic and or agency as needed.
  • Respond timely to internal and external requests for client information or formal record requests.
  • Assist with Ordering supplies for front desk and medical staff.
  • Chart Maintenance, including- archival of all active client records according to established protocol as well as opening and closing of client records with indexing and appropriate dividers in a timely manner.
  • Attend training sessions, workshops, seminars as requested by supervisor, or as needed for professional development, or as required for accreditation or licensing.
  • Regular and consistent attendance is an essential function of this position.

QualificationsMINIMUM QUALIFICATIONS:
  • High school diploma or equivalent
  • Two years related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of various office equipment, computer skills, typing, organization, ability to manage multiple telephone lines.
  • Must be proficient in Microsoft 365. Must be able to navigate through electronic health records system (EHR).
