  • The incumbent is an integral part of the daily operations within Perioperative Services and is responsible to assist the PeriOp Associate Director of Quality and Safety with the synthesis of both incoming and outgoing patient information and communication for patients scheduled for a procedures within the Perioperative department. The ideal candidate will focus on the receipt of and preoperative review of patient information and timely coordination of information provided to preoperative patients and families. This person must be a highly motivated and self-directed individual who requires minimal supervision and fosters a sense of responsibility for assisting with maintaining accurate communications within a dynamic operating room environment.
Responsibilities:
  • PATIENT / CUSTOMERMaintain patient confidentiality with data handled within the Department.Maintain patient confidentiality with report preparation.HIPAA complianceJCAHO complianceOPERATIONSReview the Operating Room/Endoscopy schedules daily to ensure alignment and prioritization with ancillary departments, the care team and individual patient needs to ensure accurate arrival information is relayed to patientsPrioritize and facilitate preoperative communications to patients; provide ongoing updates as needed.Navigate the patient electronic record to to identify the presence of critical clinical chart elements to help ensure efficient patient flow and regulatory compliance; provides feedback to clinical practices and providers to ensure accuracySynthesize incoming patient information and communicates effectively to ensure follow through and help prevent disruption to patient flow on day of surgeryCollaborate with the clinical practices and providers to proactively ensure patient flow. Collaborate with OR scheduling team to ensure patients are both clinically and financially cleared to avoid hold up of first case start.Serve as the point of contact for patients having a procedure in Perioperative servicesTake initiative and organize daily tasks to work independently and productively to complete assignments in a timely fashionProvide patients with accurate preoperative arrival and preoperative information displaying empathy, courtesy and professionalismRespond to patient and family questions and concerns in a friendly, courteous, and professional manner.Re-direct calls to appropriate individual and/or take and deliver accurate messagesPrioritizes daily responsibilities to ensure handoff and follow through with unresolved issues.Display strong time-management skills in order to meet deadlines and ensure appropriate follow through and uses closed loop communicationProvide information to the public as necessary to properly direct incoming questions and concernsDisplay flexibility and able to adjust work responsibilities according to the department's changing priorities throughout the day.Ensure timely follow up and resolution or escalation of patient issues that may jeopardize patient flow Perform duties in accordance with Penn Medicine and entity values, policies, and proceduresPerform other duties as assigned to support the unit, department, entity, and health system organizationDisplay excellent interpersonal skills and is attentive and empathetic to patient's needs and concerns. Maintain an orderly, logical filing system to facilitate immediate retrieval of information as neededAssists with quality projects through collection of data as requested
Credentials:Education or Equivalent Experience:
  • H.S. Diploma/GED (Required)
  • Associate of Arts or Science Degree (preferred)
  • Equivalent Experience: 3+ years experience in providing administrative support (required)
