Position SummaryServes as the first point of contact to provide guidance to individuals and businesses seeking support on the permitting processes within the City of Pueblo, Pueblo County, and Pueblo West. Performs a variety of professional and clerical support for Pueblo Means Business (PMB), a division of the Planning & Development Department including, but not limited to, assisting the public, developing and maintaining computer databases, and creating resources to effectively communicate procedures to the public.THIS POSTING MAY BE USED TO FILL MULTIPLE OPENINGSWhat You Will Do* Provides customer service and assistance in support of Pueblo Means Business by listening to constituent needs, identifying concerns and/or problems, providing appropriate information, and routing constituents to the applicable office.* Tracks programming errors and reports within the Pueblo Means Business Platform; assists in advising solutions for programming errors in the permitting process.* Assists, educates, and trains constituents and stakeholders on how to apply for permits and navigate through the PMB Portal process, permitting process, and various application processes, as well as explains routing procedures and other requirements to developers and the public.* Assists the public with complaints and inquiries regarding the permitting process and uses those experiences to Identify areas of confusion in the permitting process in order to recommend alternate solutions to the PMB Team.* Informs and maintains contact with all stakeholder agencies for exchanging information including, but not limited to, Pueblo Regional Building Department, Pueblo County Planning and Development, Pueblo Means Business Task Force, Pueblo Means Business Advisory Committee, Pueblo City Staff, Fire Department, County Departments or Elected Offices, Pueblo Economic Development Corporation (PEDCO), Chamber of Commerce, Small Business Development Center (SBDC), Pueblo Urban Renewal Authority (PURA), and State Offices or others as directed. Identifies methods and resources to assist customers by creating process workflow documents and informational documentation for internal/external use.* Identifies methods and resources to assist customers by creating process workflow documents and informational documentation for internal/external use.* Coordinates schedules and makes arrangements for trainings, meetings, events, tests, and/or similar activities.* Prepares and distributes meeting agendas and related materials; takes, tapes, transcribes, and distributes meeting minutes.* Prepares standardized and original documents and forms; composes original letters and written responses upon request.* Coordinates and problem-solves with Planning and Development Staff, Administrative Support Staff, and Marijuana staff to assist constituents and internal stakeholders.* Maintains office filing systems, files, and records; assembles information upon request.* Ensures department records and reports are properly maintained; processes operating records and data, maintains accounts, records, and statistical data; including compiling data for summaries and reports.* Processes purchase orders, invoices, vouchers, purchasing cards, fuel cards, personnel requisitions, and maintenance requests.* Develops and maintains office procedures, routines, and filing system as necessary or needed; ensures daily objectives and operations are met.* Prepares written articles for newsletters; prepares bulletins, brochures, publications, and other various materials for departmental programs.* Maintains clear, concise, and informative contact with direct supervisor; ensures supervisor is aware of any potential issues that may arise and may need to be addressed at an elevated level.* Establishes and maintains effective and cooperative working relationships with all levels of internal and/or external stakeholders.* Scans and enters various information into databases.* Prepares information including binding, stapling, and copying; distributes packets to appropriate persons including mass mailings.* Processes and reviews employee timesheets and payroll information; enters payroll data; coordinates with Finance and/or Human Resources, employees, and supervisors to resolve any issues; prepares and processes other personnel forms.* Performs other duties as appropriate or necessary for performance of the job.What You HaveREQUIRED EDUCATION AND/OR EXPERIENCE:Option 1: Experience Only* Minimum of Seven(7) years or moreConstruction, Permitting, Engineering, Planning, or other relevant field.Option 2:Education and Experience* Associate's Degreeor Higher in Business Management, Construction Management, Building Inspection or other relevant field.AND* Minimum Five (5) years or more Construction, Permitting, Engineering, Planning, or other relevant field.REQUIRED CERTIFICATE:* Notary Public Certificate from Approved Agency or Source, 6 months of hire.SPECIAL REQUIREMENTS:* Must successfully pass background check.* Bilingual; fluent in English and Spanish preferredWhat Pueblo County Offers* Comprehensive Benefits package (medical, dental, vision, etc.) for full-time employees* Generous Vacation and Sick Leave Accrual* Remote & Hybrid working opportunities* County Retirement Program* Autonomy to grow and find your career path with supportive leadership* Truly inclusive and diverse environment* Fitness Center (Historic Pueblo Courthouse Building)* 4-week Paid Parental Leave Benefit
