Job Title: Permit Coordinator
Classification: Non-exempt/Hourly
Pay Rate:$60-$70k annually
Reports to: Special Events and Permits ManagerBrooklyn Bridge Park (BBP) seeks an organized, proactive and client-focused individual to join the Operations team as Permit Coordinator. Reporting to the Special Events and Permits Manager, the Coordinator will direct the processing and implementation of athletic and special event permit applications (weddings, proposals, field days, social gatherings) in a dynamic, beloved and iconic park on the Brooklyn waterfront. The Coordinator will also be responsible for managing BBP's permit tracking database. This position requires strong customer service skills and attention to detail throughout the permitting process. The Permit Coordinator will also be responsible for administrative support of the Permit and Events department.
Primary Responsibilities:Permit Processing:
- Issue permits for approved applicants and monitoring the status of permit applications submitted.
- Oversee and manage the processing of all general permit applications (weddings, proposals, field days, social gatherings) submitted, ensuring that all proper records are maintained for all permits issued.
- Ensure that applications are entered accurately and in accordance with agency procedures in an efficient and timely manner.
- Oversee and manage the processing of all athletic permits
- Pier 2 : Basketball
- Pier 5 : Soccer, Lacrosse, Frisbee, Rugby
- Pier 6 : Volleyball
- Assist with maintaining and updating the permitting database.
- Assist the Finance Department with reconciliation of customer payments against permit database payment report by issuing invoices for additional permit fees, and tracking all permit fees, and payment records in databases
- Provide general Operations support as needed
Event Support:
- Assist Permit & Events Manager with monitoring special events and communication with various departments during the permit process
- Actively check-in on permitted events in the Park to ensure compliance with BBP rules and regulations
Public and Agency Interaction:
- Provide information to and interact with the public by responding to general inquires
- Assist the public through various forms of communication with applying for and obtaining permits
- Provide excellent customer service in all constituent interactions
- Troubleshoot any tech issues applicants experience during application submission
- Attend Bi-Weekly Citywide Event Coordination Management (CECM) Agency Call.
- Maintain the Permits email account and respond promptly to inquiries
Qualifications:- Bachelor's degree preferred.
- Strong verbal and written communication skills.
- Demonstrated interest in the evolving field of public space management.
- Detail-oriented, organized, hardworking, energetic and self-motivated.
- Ability to communicate across all departments and interact with all levels of management and staff.
- Proficient computer skills including database management software, Microsoft Outlook, Word, and Excel.
- Comfortable working independently or with a team in a park-setting.
- Capable of working additional hours, under pressure, and independently as necessary, while handling a diverse range of responsibilities.
- Valid US driver's license required.
