Job Summary:
The Permitting Administrative Assistant supports the permitting department by assisting with the preparation, submission, and management of permit applications. This role ensures compliance with local, state, and federal regulations and provides administrative support to facilitate the timely approval of projects. The assistant works closely with project managers, regulatory agencies, and other stakeholders to track the progress of permits and resolve any issues that may arise during the permitting process.
Key Responsibilities:
- Permit Application Preparation: Assist in the preparation and submission of permit applications for various types of projects, ensuring that all required documentation is accurate and complete.
- Regulatory Research: Conduct research to understand applicable local, state, and federal regulations that may impact projects and their permitting requirements.
- Permit Tracking and Management: Maintain tracking systems to monitor the status of permits, renewals, and expirations. Provide regular updates to project teams.
- Communication: Serve as a liaison between internal teams (engineering, construction, environmental) and regulatory agencies to facilitate smooth communication and address questions or issues.
- Document Management: Organize, file, and maintain permitting documents and records in both physical and digital formats, ensuring easy access for stakeholders.
- Coordination: Assist in scheduling meetings with regulatory authorities and coordinating site visits or inspections as needed for permit approval.
- Compliance Monitoring: Assist in ensuring that permits are in compliance with local ordinances and regulations throughout the life cycle of the project.
- Data Entry: Input data into permitting software or databases and prepare reports on permit statuses, expirations, and upcoming requirements.
- Assistance with Appeals or Modifications: Help gather necessary documentation for any permit appeals, variances, or modifications requested during the project.
