Personal Assistant (Hybrid-Role)

Location: New York, NY 10022

Salary: $120,000 - $160,000

Schedule: Monday Friday || Flexibility to work remotely two (2) days

Hours: 9 am 6 pm with the flexibility to work longer hours as needed for any special events

Travel: Occasional travel to Europe

Job description

The CEO of a private investment firm seeks to hire a Personal Assistant to streamline and manage all operations of their day-to-day from their private family office. We seek candidates who have experience working closely and directly with their former principals, managing and overseeing multiple projects related to the household, staff, and overall support to their private life. Must be able to work as part of a team, and always cultivate and build a positive and nurturing environment within the workspace.

Responsibilities:

  • Manage the principal s calendars and travel schedules
  • Working collaboratively with the company s executive staff
  • Manage the principal s contacts and always keep an updated record of any changes
  • Keeping a record of digital passwords and making sure all devices, computers, iPads, and iPhones are working properly before extensive travel.
  • Communicating any delays or changes with the executive or property team
  • Booking private travel: Coordinating international travel and accommodations
  • Coordinating with Driver, ground transportation, and security
  • Manage all operations of the family office
  • Provide administrative support, screening calls, and emails
  • Composing emails for the principal based on dictation
  • Overseeing vendors and contractors and the maintenance team
  • Ordering any office or household supplies
  • Working closely with the managers in various properties to coordinate, supervise, and manage vendors and sub-contractors for preventative maintenance
  • Communicating with Property/Household Staff
  • Conduct site visits in the principal's home office as requested
  • Event planning, organizing, and coordination of any special events for the family
  • Conducting detailed research for future trips, restaurant reservations, concert tickets, hotels, and various activities based on the location.
  • Keeping detailed records of purchases and managing all expenses for the family office
  • Managing all insurance claims and updating any that require renewal and filing them properly for the family
  • Execute ad-hoc projects and tasks
  • Available via email or text over weekends, especially when the principal is traveling
  • Personal shopping and running personal errands

Requirements:

  • Minimum 5 - 10 years of relevant work experience
  • Bachelor s degree preferred
  • Outstanding references from previous positions
  • Utmost sense of confidentiality and discretion
  • Management and hands-on experience are a must
  • Excellent interpersonal and analytical skills; ability to work with many different personalities
  • Superb command of the English language, both written and oral
  • Tech-savvy Smart Home Technology
  • Proven leadership, management, and organizational skills with high standards for impeccable customer service and consistent accuracy in execution.
  • Superior project-management and time-management skills
  • Strong analytic and problem-solving skills
  • Creative and critical thinker; problem solver; collaborates with influence
  • Demonstrates flexibility and works efficiently to manage priorities
  • US valid work authorization
  • Valid Driver s License
