Key Relationships: Directors, Underwriters, Managers, Secretaries, other staff members and external clients and suppliers.
Job Summary: To provide comprehensive PA support to Group Head of Property, and to members of the team as advised by Group Head of Property. To manage the Property secretarial team.
Key Responsibilities:
Personal Assistant Support
- Act as a first point of contact for both internal and external clients wishing to contact Group Head of Property
- Screen and respond to e-mails and telephone calls. Provide e-mail management support including: management of meeting requests, organisation & filtering of e-mail.
- Provide diary management support including: arrangement of meetings, acceptance/ declines, act as gatekeeper to meeting requests, ensuring adequate time allocation/ travel time for meetings.
- Provide a time management service for Group Head of Property to ensure effective use of their time.
- Arrange internal/external meetings and book venues including: distribution of papers/ reports in advance, set up of video/ teleconferencing/ flipcharts, booking of refreshments/ lunch.
- Collate information and produce presentations from PowerPoint for meetings and seminars.
- Follow up on agreed action items from meetings.
- Produce accurate correspondence including letters, memos and facsimiles on behalf of Head of Underwriting Performance including dealing with routine correspondence and enquiries.
- Co-ordinate with the travel team to make travel arrangements, including booking flights, accommodation, producing itineraries, and arranging foreign currency and passport/visas where applicable.
- Book meetings, seminars and conferences, liaising with Talent Management where necessary.
- Meet and greet visitors.
- Attend meetings and team briefs, taking minutes where necessary.
- Take the initiative to identify and resolve problems as they arise to facilitate the smooth running and continuity of business.
- Act as ambassador for the Head of Property Group both internally and externally particularly during times of their absence from the business whilst ensuring that they are fully appraised of any important developments
Secretarial Co-ordination
- Represent the Property secretarial team, providing comprehensive support, co-ordination and direction.
- Mentor and develop Property team secretaries; execute training and career development plans in conjunction with Talent Management.
- Capacity management and planning; Ensuring effective management of workload, holiday and sickness cover across the secretarial team.
- Resolving issues across the secretarial team.
- Ensuring effective service; issue & communication management with key stakeholders.
- Deliver annual and interim performance appraisals in partnership with secretaries line managers
- Recruit, select and integrate new Property team secretaries in conjunction with Talent Management
Best Practice and Knowledge Sharing
- Responsible for the effective co-ordination of best practices and knowledge sharing across the Property secretarial team.
- Creating a framework for knowledge sharing across teams.
- Rolling out standard/best practices across Property where appropriate.
- Standardising processes where possible.
- Ensuring process efficiency continuous improvement.
General
- Undertake any other reasonable duties /ad hoc reports as may be requested.
- Participate in cross-team and intra-team projects as required.

Personal Specification:
Education and Qualifications
- Educated to A level or equivalent
- Professional secretarial qualifications desirable

Salary for this role will be tailored to the successful individuals location and experience. The expected compensation range for this position is $75,000 - $90,000 per year plus discretionary annual bonus. You will be able to discuss your salary expectations should you be contacted about this role.
