Job Overview Under the direction of human resources management, the Personnel Assistant II provides advanced administrative support within the HR department. This position independently processes complex personnel actions, such as temporary employment, rehires, and dismissals, and performs tasks beyond routine clerical work. The incumbent assists with recruiting efforts and onboarding, including conducting new hire orientation. Additionally, the Personnel Assistant II may respond to inquiries on HR policies and procedures, conduct pre-employment screenings, and compile reports on employee turnover, time, and attendance. The Personnel Assistant II may also guide lower-level Personnel Assistants and is expected to exhibit a high level of discretion, initiative, and proficiency in various HR software. Pay Rate: $34.00/ houry Work Model: Onsite/Office-Based Responsibilities Essential Duties & Job Functions: Provide appropriate employment information, forms and lists to applicants and employees. Assist with recruiting efforts, coordinate candidate communications, and manage scheduling for interviews. Facilitate the onboarding process, including conducting new hire orientations to ensure a smooth transition for new employees. Prepare and process Personnel Action Notices (PANs) for position changes, terminations, and other HR updates. Maintain comprehensive personnel records, conducting regular internal audits for compliance. Maintain personnel records, contact appropriate sources to secure any missing items, and conduct regular internal self-audits for compliance. Facilitate pre-employment drug screenings, new hire orientation, and assist with offboarding processes, including exit interviews and final paperwork. Provide employees and managers with information on HR policies, procedures, and employment regulations, and respond to inquiries with accuracy and professionalism. Create folders with associated labeling and organization. Support special HR projects, including employee engagement initiatives, compliance audits, and HR policy updates. Complete accurate document filing for all Human Resource activities by the end of the work week. Assist with special projects and research as business needs dictate. Perform other duties as assigned. Job Requirements Mandatory: High school diploma or equivalent Government Equivalency Diploma (GED). Minimum of three (3) years of experience in a clerical or HR administrative position, with experience in complex personnel processes. Demonstrated ability to work effectively in Microsoft Excel, Outlook, PowerPoint and Word. Excellent telephone etiquette, verbal and written communication skills. Ability to positively interact and develop rapport with employees, management, vendors or customers in a professional and courteous manner in diversified situations. Mature judgment and ability to work with minimal supervision. U.S. Citizenship. Ability to obtain and maintain the required intelligence community level clearance. Ability to pass a pre-hire background and drug screen. Valid driver's license with an acceptable driving record. Ability to lift up to 50 pounds on occasion.
