What you will doWe are seeking an experienced administrative assistant who will provide support to PGIM Real Estate employees based in Los Angeles, California, as well as remote employees. A successful candidate will facilitate a wide variety of administrative tasks that are critical to the success of a fast paced and demanding business. This position requires exceptional organizational skills, astute judgement, and the ability to seamlessly manage competing priorities on behalf of our executives. This role is based in Los Angeles, California, where candidates will work on-site 4 days a week and one day remotely. What you can expect
  • Provide exceptional administrative support for efficient office operations, including complex scheduling and calendar management for several key executives.
  • Coordinate domestic and international travel logistics, as well as on-site and off-site meetings, including venue selection, contract negotiation, and materials preparation.
  • Handle communications such as email and phone management, scheduling conference calls, and resolving technical issues with the Technology team.
  • Perform general administrative tasks, including photocopying, filing, scanning, and office equipment maintenance.
  • Develop and edit presentations in PowerPoint and compile statistical reports using MS Office and Salesforce.
  • Manage mail correspondence, reconcile and submit travel and expense reports, and maintain trade association memberships.
  • Assist with office management, including onboarding new staff, managing vendor relationships, and ensuring compliance with corporate policies.
What you will bring
  • 3+ years of experience in an administrative role
  • Experience planning events and complex meetings
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • High professionalism, strong work ethic, responsibility, and integrity.
  • Discretion in handling sensitive and confidential information.
  • Strong initiative, good judgment, and multitasking abilities.
  • Collaborative team player with excellent interpersonal and communication skills.
  • Strong editing, proofreading, and attention to detail.
  • Highly motivated, proactive, and anticipatory.
  • Ability to work independently, prioritize tasks, and meet tight deadlines.
  • Willingness to work overtime as needed.

  • Bachelor's Degree preferred
  • Experience in financial services
  • CA Notary License is a plus

The salary range for this role is from $68,000 to $85,000.
