Job Description:

Health Plus Management (HPM) is a Physician Support Organization and market leader in clinical practice management in the physical medicine and rehabilitation market with 50+ locations serving Long Island, NYC, Westchester, Upstate NY, NJ and Connecticut. HPM provides independent physician practices specializing in musculoskeletal care with professional business development, marketing and back-office support typically seen in much larger organizations, thereby enabling clients to start and/or grow their private practice beyond what might otherwise be feasible (while maximizing clinical service and patient care).

We are seeking a friendly, organized, and reliable Phone Scheduler to join our team. The primary responsibility of this role is to make outbound calls to patients and coordinate the scheduling of physical therapy and physician appointments. The ideal candidate will have excellent communication skills, be detail-oriented, and be comfortable working in a fast-paced environment. This position requires a high level of customer service, as you will be interacting with patients to ensure they receive the care they need in a timely manner.

Responsibilities:

Make outbound calls to patients to schedule physical therapy and physician appointments.

Answer patient questions regarding appointment details, clinic policies, and insurance coverage.

Update and maintain accurate patient records and scheduling information in the electronic health record (EHR) system.

Follow up with patients to confirm upcoming appointments and gather necessary information (e.g., insurance, referrals).

Assist in tracking and managing patient cancellations, no-shows, and rescheduled appointments.

Provide exceptional customer service to ensure patients feel valued and supported.

Maintain confidentiality and adhere to all HIPAA regulations.

Handle high call volume while maintaining a professional demeanor.

Provide administrative support to other team members as needed

Knowledge and Experience

Previous experience in scheduling, customer service, or medical office administration is preferred but not required

Proficiency with phone systems and computer software (experience with EHR systems a plus).

Basic computer skills, including proficiency with scheduling software and Microsoft Office.

Skills and Abilities

Bilingual (English/Spanish) required

Friendly, empathetic, and patient-focused attitude

Strong phone etiquette and excellent communication skills, both written and verbal.

Strong time-management and multitasking abilities.

Ability to handle sensitive information with confidentiality and discretion.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 25 pounds at times.

Pay: $17-$18/hour

Position Requirements

Education and Training

High School Diploma or equivalent & Previous experience in a scheduling, customer service, or healthcare setting is a plus.
