All applicants are subject to a background check. This position is responsible for technical and supervisory duties in support of the department's records division functions. This position is responsible for supervising Police Records Clerks. Major Duties
  • Supervises the daily operations of the Records Division.
  • Ensures the Records Division is properly staffed at all times; schedules personnel.
  • Manages, supervises, directs, leads, guides, and evaluates assigned personnel; recommends disciplinary action as necessary
  • Oversees final accuracy of reports
  • Oversees monthly crime reporting statistics
  • Oversees all records requests and works with command staff and legal department to ensure proper compliance
  • Responds to case file requests from agencies, attorneys, etc.
  • Oversees daily reporting review for accuracy
  • Works with police supervisors/officers to ensure proper reporting
  • Comply with court orders and subpoenas for records requests
  • Performs the work of a Police Records Clerk as necessary.
  • Performs other related duties as assigned.
Knowledge and Qualifications
  • Knowledge of applicable federal, state, local statutes and departmental policies/procedures as related to records retention and dissemination.
  • Skill in operating a computer.
  • Skill in dealing with the public.
  • Skill in maintaining records and preparing reports.
  • Skill in oral and written communication.
Minimum Qualifications:
  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to three years' experience or service.
Supplemental Information SUPERVISORY CONTROLS: The Support Services Division Commander or their designee assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results. GUIDELINES: Guidelines include federal and state laws, state and national incident-based reporting system (NIBRS) guidelines, and departmental policies and procedures. These guidelines require judgment, selection, and interpretation in application. COMPLEXITY: The work consists of managing records and supervisory duties. The necessity of staffing the division at all times contributes to the complexity of the position. SCOPE AND EFFECT: The purpose of this position is to be the records custodian for the Hickory Police Department, which includes but is not limited to supervising all records maintained by the records division and ensuring their accuracy, storage and proper dissemination. PERSONAL CONTACTS: Contacts are typically with co-workers, representatives of other public safety agencies, representatives of service and support agencies, and the general public. PURPOSE OF CONTACTS: Contacts are typically to exchange information, provide services, and motivate personnel. PHYSICAL DEMANDS: The work is typically performed while sitting at a desk or while intermittently sitting, standing, stooping, or walking. The employee occasionally lifts light and heavy objects, uses tools or equipment requiring a high degree of dexterity, and must distinguish between shades of color. WORK ENVIRONMENT: The work is typically performed in the records division. SAFETY SENSITIVE: This position has been identified as safety-sensitive. The employee in this position will be part of a random drug testing pool. The methodology for choosing the random test subjects is handled by an outside, impartial, third party vendor.
