Job Description:

**Overview**

This position provides comprehensive, high-level support to the Division Director of the Atmospheric, Climate and Earth Sciences (ACES) Division within the Earth & Biological Sciences Directorate. The ACES Division Administrator provides administrative support to the Division Director in their research and program management activities, and serves as the primary point of contact for activities and actions required to manage the division office. In addition, this position leads a team of administrators to coordinate all administrative support for the Division. ACES staff are located primarily in Richland, Washington.

**Responsibilities**

Primary duties for this position include direct support of the Division Director, a senior scientist, and a project coordinator, consisting of:

+ Managing multiple complex calendars and schedules

+ Managing travel arrangements and subsequent expense reports

+ Tracking action items for and from the Division Director through completion

+ Preparing for meetings, presentations, internal and external reports, reviews, and other documents

+ Assisting with hosting visitors, interviewees, onsite workshops, seminars and other related events

+ Reviewing and triaging Division Director's email as necessary

+ Organizing and maintaining division files and materials, staff development files and other confidential records

+ Effectively leading the administrative team by providing training and support as needed, and assisting with balancing workloads across the team

+ Leading by example in completing your own work assignments with high quality products

+ Effectively communicating and corresponding with division staff, others in the directorate and laboratory, and external parties;

+ Assisting in the processing of scientific publications reports, and perform entry updates as necessary;

+ Maintaining effective working relationships with administrative counterparts across PNNL, and DOE sponsors, among other organizations, as appropriate.

**Qualifications**

Minimum Qualifications:

+ High school diploma/GED and 12 years of relevant experience in an administrative environment -OR-

+ AA degree or higher and 10 years of relevant experience in an administrative environment.

+ Experience in planning meetings and coordinating travel

Preferred Qualifications:

+ Experience supporting a director-level or senior manager.

+ Calendar management experience.

+ Excellent written and verbal communication skills.

+ Ability to communicate effectively with a diverse population, including high level managers and clients.

+ Extensive working knowledge of departmental and company policies, procedures and practices.

+ Demonstrated ability to multi-task, prioritize and organize work under tight deadlines and changing priorities.

+ Use experience and good judgment to take initiative in facilitating programs, policies and procedures.

+ Deal professionally with sensitive and confidential matters and materials.

+ Manage day-to-day administrative processes associated with office and team coordination with little to no supervisory input.

To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.

Starting pay is calculated from the minimum of the pay range and actual placement in the range is determined based on an individual's relevant job-related skills, qualifications, and experience.
