The Office of Housing Stability within the Health & Human Services department is seeking a Principal Office Specialist. This position will provide administrative support to a team of 10-12 planners, social workers and supervisors who manage a large body of housing providers. The Office of Housing Stability aims to make homelessness rare, brief, and nonrecurring.

Location and hours:

This position is remote. Remote workers may be required to come on-site 0 to 12 days a year for work meetings, trainings, or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable. Based on business needs of this position, hires must live in or relocate to Minnesota. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis. Details about NEO will be provided upon hire. Work hours are Monday through Friday from 8 a.m. to 4:30 p.m.

New employees who are hired into remote or hybrid positions between January 2, 2022, to December 31, 2024, will receive $500 toward the cost of establishing consistent internet connectivity, payable upon completion of 6 months of employment.

In this position, you will:

* Lead the work to open and close vendor numbers, a distinct provider billing code needed to authorize payments.

* Accurately enter vendor information into vendor profiles and provider directory.

* Work within the Adobe platform to issue Housing Support Agreements to housing provider.

* Support the Office of Housing Stability's Quality Assurance Team (QA) by overseeing day-to-day phone and general email with guidance from QA Team Supervisors.

* Schedule monitoring visits with housing providers on behalf of planners and social workers, using Outlook to schedule site visits and Teams to collect and store annual documentation.

* Track applications for housing subsidies, assuring applications received are complete and accurate.

* Maintain a frequently asked questions manual used as a reference document for the team.

* Answer provider questions with guidance from the QA team.

* Answer community members questions with guidance from the QA team.

* Lend administrative support to annual events including provider orientation, request for proposals, provider onboarding and other events as assigned.

* Schedule internal and external meetings as requested, develop agenda and complete meeting minutes.

* Assist in the development and implementation of new procedures and workflows for Principal Office Specialist job functions.

* Compile data and generate reports as requested.

* Assist as needed on other activities and special projects to meet the needs of the QA team.

Need to have:

* One of the following:

* Three or more years of office clerical experience.

* 30 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.

* A combination of office clerical experience and post high school education, totaling 3 years or more (3 semester credits = 1 month)

Nice to have:

* Experience:

* Delivering high quality customer service to internal and external stakeholders.

* Using Microsoft Office applications including Excel, PowerPoint, SharePoint, Teams, Visio, and/or Word.

* Using databases and performing data entry where accuracy is essential.

* Reviewing and editing process documents.

* Working with computers and knowledge of word processing.

* Working with MAXIS, Adobe

Ability to:

* Communicate with the general public and staff members with tact and discretion.

* Handle multiple problems and assignments simultaneously and to work independently with minimal direction.

* Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.

* Read, understand, and relay a variety of correspondence, policies, and procedures; read and follow complex instructions.

* Recognize and respect cultural differences and provide culturally appropriate services.

* Handle multiple complex and simultaneous tasks by setting priorities to meet deadlines.

* Code and classify information according to guidelines.

* Take initiative in solving problems, use sound judgment when approaching problems; read and follow complex instructions.

* Communicate effectively both verbally and in writing.
