About the role

Our Private Dining Coordinator will be tasked with promoting our hotel and the services we offer while maintaining our Four Seasons standards.

What you will do:

* Actively solicit new business and respond to inquiries with the intention of confirming profitable Private and Semi Private Dining Sales business and achieving Monthly Sales Goals for Ramsay's Kitchen, RK Bar and TopGolf Swing Suite.

* Conduct property tours for local businesses, corporate and social clientele to actively sell three private dining rooms, semi-private spaces both indoor and outdoor, and areas near and around the bar area.

* Plan and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Meeting, Sales & Marketing Meeting, Banquet Event Order Meeting and Restaurant Pre-Shift Meetings.

* Coordinate the sales efforts between the sales department and Ramsay's Kitchen to ensure proper utilization of private dining rooms to yield maximum revenues.

* Ensure all events are properly reserved in Delphi and Open Table to accurately show space availability and ensure the operations team and culinary team is aware of all Private Dining Room reservations.

* Creatively build Private Dining Room Menus for each event based on what has been agreed upon with the client and the operations team.

* Finalize the requirements of confirmed bookings while maximizing revenue potential through up-selling and ensuring effective communication both written (BEO, Daily Reports) and personal contact with all departments for the success of the event. Ensure accuracy of final itemized receipts and provide bill review on completion of event.

* Supervise the execution of Private Dining Room events. Review all function space with Ramsay's Kitchen team and management. Ensure satisfaction of client at the outset of all events.

* Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.

* Make timely and impromptu decisions, which balance client's needs with the financial, safety and staffing goals of the hotel.

* Find solutions to the inevitable challenges and glitches that arise while groups are on property and keep Management and Director of Marketing promptly informed of all problems or unusual matters so prompt corrective action can be taken where appropriate.

* Assist with all guest inquires within the sales, marketing and Private Dining Sales department, including assistance with high telephone volume and walk-in site inspections.

* Act as the liaison for all vendor/supplier related clients needs, (i.e. Audio Visual, Florists, Dcor etc.)

* Provide input for the weekly revenue and labor forecasts. Add in all food and beverage actuals to Delphi upon conclusion of each event, and submit monthly reports to Director of Marketing for production submission.

What we are looking for:

* Bachelor's Degree preferred

* 1 to 2 years of previous catering sales experience in a restaurant or hotel is preferred

* Strong writing and oral presentation skills

* Requires knowledge of and ability to operate computer equipment

* Knowledge of Open Table and Delphi is preferred

* Previous experience using Canva and/or Adobe InDesign

* Basic knowledge of hotel operations

* Strong organization and attention to detail is required

* Job may require flexible hours based on schedule of events
