Position Overview:

We are seeking a meticulous and organized Procurement and Contract Coordinator to join our team. The ideal candidate will manage our purchasing processes, asset management, and vendor relations, ensuring efficient and cost-effective procurement. This role involves heavy interaction with Accounts Payable and requires strong organizational and spreadsheet skills. This is a junior position ideal for someone looking to start or grow their career in procurement and contract/vendor management.

Responsibilities:

Contract Management:

  • Maintain a comprehensive catalog of contracts and vendors.
  • Track contract renewals and notify appropriate stakeholders.
  • Verify actual spend versus usage against agreed amounts.
  • Obtain approvals for cost increases and re-approvals of spend as needed.
  • Classify and ensure there is no duplication of services/spend.

Purchasing Execution:

  • Handle the complete purchasing process: request, approval, PO generation, shipping/delivery, and handoff to Accounts Payable for invoice payment.
  • Serve as the primary contact for purchasing inquiries and requests.
  • Work closely with Accounts Payable on reconciliation and invoice management.

Tracking System Management:

  • Create and manage a tracking system for purchase orders and purchasing flow, initially using Excel spreadsheets.
  • Organize and incorporate all existing orders into the tracking system.

Asset Management:

  • Set up and manage an asset-management system to track capitalized assets with asset tags.
  • Maintain records to monitor the location and usage of assets.
  • Develop and enforce asset disposal policies and procedures, including recycling and data wipe standards as per security department guidelines.

Vendor Management:

  • Maintain a list of vendors and contacts.
  • Manage regular interactions with vendors, including yearly relationship maintenance calls.

Qualifications:

  • Bachelor s degree
  • 1 - 3 years of work experience.
  • Strong proficiency in Microsoft Excel and other MS Office applications.
  • Excellent organizational and time management skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong verbal and written communication skills.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Experience with Zendesk and/or Workday is a plus.
  • Previous experience in a purchasing or procurement role is desirable but not required.

Salary Range:

The expected base salary for this New York, New York based position is $70,000 - $85,000 (eligible for overtime). In addition, you may be eligible for a discretionary bonus.
