The position reports directly to the Purchasing Officer at Longleaf Neuro-Medical Treatment Center and is responsible for daily purchasing transactions for the procurement business functions necessary to operate in the most cost-effective environment.Job Responsibilities Include:
- Reviewing authorized procurement requisitions and determining the appropriate method of acquisition.
- Utilizing the established policies and procedures to determine what documentation is required to accompany purchase for proof of compliance.
- Function as a Buyer on a large scale to obtain various commodities of goods and services for the Center in a timely and cost-effective manner through State Term Contracts, Correction Enterprises, P-Card transactions and other sources within delegation
- Research product information to negotiate and secure price quotes from Vendors.
- Entering purchase orders in the NC eProcurement System for goods and services as needed.
- Create and maintain electronic purchasing files and records to include Contract Log.
- Following up with facility P-Card holders to ensure receipts are signed and submitted within five (5) business days of purchase and reconciliation forms are completed and submitted to the Controller's Office.
- Monthly reconciliation of P-Card statements and submitting them to the Purchasing Officer for review and signature.
- Troubleshooting items with P-Card users, i.e. missing receipts, limit exceptions, tax exempt paperwork, etc.
- Working with the Purchasing Officer to set up new P-Card users, reconcile statements and maintain proper documentation.
- Reviewing, coding and preparing invoices to be sent to the Controller's Office for payment.
- Uploading of all invoices into the OOC Document Repository.
