SUMMARY

The Production Coordinator will provide administrative support to the Vice President of Winemaking to ensure all conceptual and practical efforts in Viticulture and Winemaking are followed to make world class wines. The position of Production Coordinator organizes all correspondence, documentation, appointments, travel, and meetings for the VP of Winemaking and production team. This role will also provide support in managing invoices, event planning, and completing vineyard payroll.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Provide administrative support to the Vice President of Winemaking, including monthly expense reports, scheduling travel arrangements, meetings, and events.

* Execute and oversee all Production Special Events, including the Blessing of the Grapes, Cinco de Mayo Party, Harvest Lunches, Fun Committee Events, Harvest Party, Chop & Mo?tini lunch, PCG Meetings, Cooper Evaluation Tastings, Silverado Farming Annual Celebration, Unified Grape Symposium, W.I.N Gutterball, Winery Winemaking Teams events, Calistoga Tractor Parade, and Field Trips, and educational seminars.

* Assist in ordering supplies Facilities, Cellar, Vineyard, and Lab teams and setting up workspaces.

* Assist in providing cost information for budgeting of special events and offsites.

* Coordinate technical tastings and tours with the winemaking team in collaboration with the hospitality team.

* Work with Communications Coordinator to schedule all videography, press, filming, and interviews for the Vice President of Winemaking and production team.

* Plan, participate, and record all meetings related to winemaking, viticulture, and facilities.

* Responsible for tracking activities with outside contractors and approving invoices.

* Process, audit, and submit vineyard worker payroll in AgCode to send to Human Resources and Director of Viticulture on a bi-weekly basis.

* Coordinate food and beverage as needed for various meetings and events.

* Assist in coordinating various educational workshops and safety.

* Responsible for overseeing the vending machines in the production break room.

* Manage special projects as needed including action items for safety and packaging including but not limited to AED management.

* Coordinate annual clothing order for production team uniforms.

* Coordinate and oversee the Olive Oil art competition and work with Packaging Coordinator and Cellar Supervisor to bottle and distribute to employees.

* Coordinate and oversee the distribution of holiday cards.

Harvest

* Renew special licenses, such as weighmaster, and update all contact information pre harvest.

* Responsible for organizing daily harvest meetings for internal winemaking team, as well as prepare and distribute crush schedules.

* Prepare daily payroll throughout harvest, including weekends.

* Provide accurate and timely progress reports for wine tonnages, cull, date of harvest and other related reports and spreadsheets.

* Prepare Vine Reports and State Grape Reports post-harvest.

* Coordinate Harvest Experience Tours and Tastings with the winemaking team and Guest Relations team.

QUALIFICATIONS

* Minimum of 3 years? administrative experience, preferably in the wine industry

* MS Office Suite (Outlook, Excel, Word, Teams) proficiency

* Valid Driver's License with insurable driving record

* Must be able to perform quality work, safely and consistently

* Strong verbal and written English communication skills

* Exceptional customer service skills and ability to work well with all levels within the organization

* Able to prioritize and work under tight deadlines with accuracy

* Available to work weekends throughout the harvest season

* High School Diploma, GED, or equivalent education

PREFERRED QUALIFICATIONS

* Associate?s degree or equivalent college-level business coursework

* Ability to speak fluent oral and written Spanish

* Experience with Zoom, Business Central, and Concur

COMPENSATION: Base Compensation Range: $25.00 - $32.00 USD hourly*
