Job Title: Production Coordinator Department: Production Location: Grand Rapids
Job Summary:
The Production Coordinator plays a vital role in ensuring the smooth flow of production by managing scheduling, material tracking, and communication between the production team, installers, builders, and sales. This position is responsible for coordinating daily operations, resolving issues, and supporting both warehouse and service departments to maintain efficient job completion.
Key Responsibilities:
- Scheduling & Coordination: Set and manage job schedules, working with sales and builders to ensure a minimum two-week lead time. Update installers daily via the A1 app and monitor job status. Schedule inspections, punch list items, and warranty-related work, ensuring all tasks are tracked and completed in a timely manner.
- Communication: Relay job details and updates to builders, sales, and production supervisors. Provide the production manager with daily job progression reports and ensure all necessary documentation (e.g., material pull sheets, unitary pay details) is properly filed. Track completed jobs and report outstanding issues.
- Material Management: Coordinate with the purchasing agent to ensure equipment and supplies are delivered on time. Work with the warehouse to ensure materials arrive before installers, and track any returned equipment to prevent unnecessary charges. Ensure timely warehouse pickups and maintain material flow to avoid project delays.
- Builder Relations: Call builders weekly to check on scheduling, job status, and improve relationships. Gather necessary information for upcoming jobs (e.g., gas and AC locations, door codes) and communicate with the sheet metal shop on order completion.
- Planning & Reporting: Provide the production manager with material lists and job layouts for upcoming work. Attend weekly manpower planning meetings and work with the East Side Manager for flex manpower needs.
- Monthly & Maintenance Duties: Assist with manpower planning reports, vehicle inspections, and maintenance scheduling. Track installer training progress and help schedule relevant training sessions. Support warehouse and installer performance reviews and maintain vehicle tracking software assignments.
- Other Responsibilities: Ensure pull sheets are sent to accounting for costing, manage vendor deliveries, and oversee recycling efforts. Coordinate vehicle preparation & the sale of obsolete equipment.
- Qualifications:
- High school diploma or equivalent
- Forklift certified and possession of chauffeurs license
- Previous experience in production coordination or HVAC industry is a plus.
- Strong organizational, communication, and multitasking skills.
- Proficiency with scheduling software and tools.
- Attention to detail and ability to work independently and collaboratively.
